SUMMARY OF ASSIGNMENT

West Valley School District is seeking a Data Coordinator to oversee the ongoing development and management of the District’s Student Management System (Skyward). This position will discover efficient ways to organize, store and analyze data with attention to security and confidentiality. The ideal candidate will be tech-savvy, possess excellent troubleshooting skills, and will have a strong understanding of database management, and data analysis procedures.

PREFERRED QUALIFICATIONS

  • Experience with Skyward student management system and other online educational platforms including and not limited to, Clever, WSIPC, and Parent Square.
  • Experience with WA State Office of Superintendent of Public Instruction (OSPI) student enrollment, registration, and student data regulations and reporting requirements including the EDS and CEDARS systems (CEDARS)
  • Experience managing software access via single-sign-on, and automatic updates of the software database.

REQUIRED QUALIFICATIONS

  • High School Diploma required. Additional business, data management, or office courses are preferred.
  • Two years’ office administrative experience required.
  • Demonstrated recordkeeping skills, working accurately with figures and using good organization systems.
  • Proficient with the use of Microsoft Word, Microsoft Excel, and Google Suite.
  • Strong understanding of databases and data analysis procedures including, processing records, maintaining data integrity, and uniform data reporting.
  • Experience working with and maintaining confidential information.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA) and its application to student data records.
  • Experience with data analysis and extraction for purposes of responding to State and Federal reporting.
  • Ability to review, interpret and implement changes to ensure compliance with State and Federal regulations.
  • Ability to handle many complex duties at the same time demonstrating leadership and organizational skills, while working effectively under pressure and meeting deadlines in a timely manner.
  • Demonstrated ability to work with minimum supervision with many interruptions.
  • Excellent oral and written communication skills.
  • Experience leading and facilitating meetings.

PERFORMANCE RESPONSIBILITIES

  • Responsible for developing, overseeing, organizing, storing, and analyzing data and data systems; ensuring that all of this is always done with the utmost security and confidentiality and in a timely manner.
  • Establish interdependent collaborative relationships with applicable staff and leaders to ensure an educational environment that promotes a sense of belonging and access to high levels of learning for all students.
  • Support a work culture that values all people and their contributions.
  • Responsible for managing and maintaining the District Student Management system including, creating and enforcing policies for effective data management, and making recommendations for enhancement of data retention, tracking, and reporting.
  • Interpret, implement, communicate, and ensure compliance with Federal and State (OSPI) student data regulations.
  • Develop training materials, provide professional development, and deliver training for the District Secretarial group and applicable building staff, related to the Student Management System and State-wide OSPI requirements and updates.
  • Serve as a content expert and provide guidance for the District Student Management System, including and not limited to enrollment, registration, attendance, course set-up, discipline data, CEDARS requirements, nutrition, transportation, family, and student access.
  • Support gathering, inputting, analyzing, and interpreting related data for the Student Management System.
  • Facilitate and respond to required Federal and State reporting of Student Management Data.
  • Participate in the Consolidated Program Review (CPR) and provide requested data.
  • Support Technology with the implementation and management of student single-sign-on educational platforms.
  • Collaborate with District staff to troubleshoot, problem-solve and take appropriate action in support of schools.
  • Maintain confidential student information, files, and records for the purpose of providing up-to-date data and information for auditing and compliance.
  • Participate in a variety of meetings, trainings, and advisory groups for the purpose of gathering and relaying information relating to student records and data.
  • Other related duties as assigned.

TERMS OF EMPLOYMENT

Salary and work year to be determined by the District

Verification of identity and United States work authorization must be completed before employment commences. The successful candidate for this position must complete a fingerprinted background check with the Washington State Patrol and the Federal Bureau of Investigation. Employment is contingent upon clearance of the background check.

ADDITIONAL INFORMATION

RETIREMENT - All regular, non-substitute employees are enrolled in a state retirement plan through the Washington State Department of Retirement Systems (DRS).

SICK LEAVE - All regular, non-substitute employees receive 12 sick leave days (prorated based on FTE) and paid time off. Substitute employees receive sick leave per RCW 49.46.210.

PAID TIME OFF - All regular, non-substitute employees receive paid time off, including annual and/or vacation leave. Paid time off varies by position and work year. Refer to the applicable Collective Bargaining Agreement or salary schedule for details.

OTHER BENEFITS

Classified employees receive 10-13 paid holidays (depending on position & work year). Refer to the applicable Collective Bargaining Agreement or salary schedule for details.
