Job Purpose: 

Our next Facilities Specialist will be responsible for coordinating tasks related to physical plant operations (including all buildings and grounds, utilities, energy management and safety/security systems) with the appropriate vendors and internal teams, and supporting the provision of a safe, healthy, comfortable, and welcoming environment for clients, staff and visitors. The individual in this position will track and monitor maintenance and repair activities, contracted services, and custodial services ensuring the physical operations of Wellpoint Care Network facilities, which include the Capitol Campus and West Bend satellite locations, meet safety and maintenance standards in compliance with programmatic, state, and federal regulations and requirements.

Qualifications: 

  • High school diploma or equivalent required; Associate’s Degree or Bachelor’s Degree in facilities management, engineering, building trades, or related field preferred.
  • Minimum two (2) years prior building maintenance experience required including proven success in the areas of interior and exterior building maintenance, preventative maintenance processes.
  • Experience servicing internal customers in a business, or a school is a plus.
  • Project management experience preferred.
  • HVAC knowledge is recommended including familiarity with hot water heaters and boiler.
  • Understands Business Operations and use of building by each division and communicates with business personnel appropriately.
  • Ability to provide a high level of customer service, responding promptly and efficiently to work order requests.
  • Ability to learn facilities management work order reporting tools or software.
  • Ability to show initiative and is self-motivated.
  • Ability to contribute constructive ideas, use time effectively and efficiently.
  • Ability to manage multiple projects, timelines, budgets, and schedules.
  • Ability to interact effectively with people from diverse backgrounds Must be honest, dependable, and able to meet deadlines; Self-motivated and able to work independently.
  • A valid Wisconsin Driver’s License or occupational driver’s license, reliable transportation and insurance is required. Required or reliable transportation to conduct on-site learning throughout the state.
  • Ability to demonstrate critical thinking skills, detail oriented, highly effective verbal, and written communication skills.
  • Demonstrate an ability to effective understanding and practice of cultural humility and ability work and communicate respectfully with individuals from diverse backgrounds.
  • Proficient in the usage of computer software; demonstrate an understanding of computer file systems and databases, e.g., Microsoft Office, Excel, Outlook, Teams, ADP, etc.
  • Physical exam, drug screen, motor vehicle report, and background checks are required for this position.

Duties:

Campus/Facility Operations

•Receives, coordinates, and processes work order requests by communicating with Facility Management Company and ensuring problems are resolved quickly.

•Supports Wellpoint staff with facility preparation (including set up and take down) for events on Campus.

•Stays current with campus use, including being aware of and ready for facility events on campus; including both employee and guest events, and events held inside and outside.

•Ensures that the Campus is safe, clean and functional.

•Expands job knowledge to mitigate risk and support overall safety efforts by staying abreast of industry trends, compliance requirements, as well as current facilities management practices.

•Serves as primary point of contact for all maintenance related vendors while on campus

Proactive/Preventative Maintenance Measures

•Performs regular documented building walkthrough inspections to identify repairs and preventive maintenance issues.

•Coordinates the interior and exterior preventative maintenance of the building ensuring that all work is in compliance with applicable building codes and safety standards.

•Monitors all city permits and required inspections to ensure compliance with legal requirements.

•Initiates ongoing communication with key building stakeholders in program and administrative divisions to successfully manage facility maintenance and safety issues

Financial

•Conducts timely review and processing of all invoices and contract payments.

•Performs inventory management of all building and cleaning supplies and equipment to ensure adequate supply of all necessary products.

Position Details & Extras:

Full time. Work hours are 7:00 AM - 4:00 PM, Monday through Friday with occasional (less than 5 times per year) availability during evenings, overnight, and on weekends to accommodate facility needs.

Fast paced, flexible work schedule includes evenings and some weekends to accommodate program needs.

Moderate exposure to noise.

Subject to frequent interruptions with ability to manage multiple tasks simultaneously.

Demonstrates an understanding of the cultural differences among diverse groups and the need to adapt service provision to match these differences in respectful ways.

 Public Service Loan Forgiveness (PSLF) - Wellpoint employees may be eligible for loan forgiveness under the Public Service Loan Forgiveness program. 

Regular travel in personal vehicles is required with the ability to move intermittently throughout the workday.

Willingness to work beyond normal working hours: evenings, nights and weekends.
