SUMMARY: Performs secretarial duties in the Nutrition Services department. Responsible for processing free and reduced applications, recording and verifying information and maintaining confidential records regarding meal eligibility status. Purchases food and non-food products for the Nutrition Service program. Works closely with the NS Director, Assistant Director, and Supervisor to provide administrative support.

- Processes, records, maintains and verifies applications for free and reduced meal eligibility status. Handles confidential records appropriately and trains staff to maintain free and reduced student confidentiality.
- Answer phones, take messages, make calls, transfer calls, and/or record messages as required by administration.
- Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
- Acts as liaison between staff, students, parents and public to provide customer service by responding to inquiries and requests in a timely and professional manner.
- Performs administrative duties as required including, but no limited to answering phone and typing correspondence.
- Performs bookkeeping and/or record-keeping tasks, such as coding and processing invoices while ensuring pricing is accurate and any discounts is taken.
- Operates, troubleshoots and performs minor maintenances on computers, software and office equipment as needed.
- Responsible for managing/tracking Professional Standards for Nutrition Services employees.
- Communicates with the Nutrition Services Director regarding the allocation of commodity funds.
- Purchases and works as part of a team to oversee the receipt of food and non-food supplies.
- Coordinate scheduling for Nutrition Services department.
- Works with distributors to monitor correct pricing and/or credits needed.
- Communicates with Production Manager regarding the receipt of commodities and purchased food/nonfood supplies at the production site and warehouse, ensuring that invoices are signed only after quality, quantity and specification compliance for each delivery is verified.
- Collaborates with Assistant Director and/or Director to determine corrective action for ordered products that are damaged or missing.
- Assists with coordinating school, District and/or department projects. Duties are clerical in nature and may include organizing, verifying, assembling, distributing, and/or collecting materials.
- Assists in preparation of documentation for state, District and/or department reports.
- Assists in troubleshooting aspects of the Point of Sale and benefit issuance software.
- Updates the Nutrition Services website and social media account to promote and inform the students, parents, staff and public about the nutrition service program.
- Attend work and arrive in a timely manner

EDUCATION AND RELATED WORK EXPERIENCE:
- High school diploma or equivalent
- Two years of job experience as a secretary
- Knowledge of USDA meal requirements and programs (Preferred)
- Alternatives to the above qualifications as the NS Director finds acceptable
- Proficiency in typing and is knowledgeable of modern office practices
- Proficient knowledge of computers and ability to navigate various computer applications
- Ability to communicate professionally with students, parents, staff and community
- Experience in inventory management
LICENSES/CERTIFICATIONS:
- Criminal background check
- Valid Colorado Driver’s License
TECHNICAL SKILLS AND KNOWLEDGE: Interpersonal, English language, communication, clerical/secretarial, organizational, multi-tasking, general office, and typing skills. Basic math and writing skills. Bookkeeping and accounting skills may be preferred. Ability to maintain confidentiality in all aspects of the job. Basic operating knowledge of general office equipment and computers required.
