Performs a variety of duties in maintaining the agency psychiatric program.

RESPONSIBILITIES:

• Greet clients/visitors checking in at the front desk at the Bouma Counseling Center.
• Support clients throughout the entire check-in process for both counseling and psychiatry appointments (notifying provider the client has arrive, taking payments, providing intake or updated forms, and vitals as necessary).
• Answer phones for the psychiatry line and return voicemail messages.
• Complete Opening and Closing Checklists when opening and closing the office.
• Maintain all medical records for psychiatric services including creating charts, writing in charts, filing, and closing charts.
• Manage all psychiatric referrals (receiving, scheduling, tracking, requests for medical records, etc.).
• Maintain and order injections as needed.
• Complete daily mail runs for counseling and psychiatric.
• Manage prescription refill requests and communications with providers/clients about refill requests.
• Prep psychiatric charts for all psych providers and have them ready the day before scheduled appointments.
• Resolve all appointments in Anasazi for all providers (including changing the time and code to what the provider records and checking insurance grid for provider sign off).
• Upload, download, print, obtain signatures for, and file dictations for all providers.
• Schedule initial appointments, follow-up appointments and call families to reschedule appointments for psychiatry.
• Set up interpreter services for families in psychiatry as necessary.
• Respond to and complete requests from providers (labs/prior authorizations/call families) and supervisor (general administrative duties and projects).
• Regular participation in supervision meetings and team meetings for the sharing of ideas, feedback, and department planning.
• Responsible for timely Quality Assurance compliance as related to employee’s roles and functions.
• Other duties as assigned

QUALIFICATIONS:

• Certification in a Medical Assistant program.
• High school diploma with additional office experience.
• Previous psychiatric office experience or training preferred.
• Subscription to the Statement of Faith of Wedgwood Christian Services and agreement with the goal, purpose and objectives of the agency.

HOURS OF WORK: 8:30-5pm Monday-Friday, one day 10:30-7pm
