while alternative work arrangements may be made, in order to best serve students, faculty and other staff, the incumbent is expected to be present in the office for the majority of the work week as stated in the Job Summary.

Pay Grade N25 Salary FLSA Non-Exempt Job Summary / Basic Function Administrative Specialist duties for the Business Administration and Marketing Department.

The position will serve as department point person by maintaining presence in the department suite for key portions of the work day and work week, as determined by peak support times for students and faculty.

Alternative work arrangements may be negotiated based on the needs of the department and school, as well as the nature of the tasks associated with the position.

The individual will be responsible for supporting the department and must communicate clearly with the Department Chair to ensure that work is completed in a time-frame acceptable to both.

The position will require excellent communication, time management, and organization skills. General duties / skills include :

  • The position is a regular, 40-hour work week.
  • Serve as the department’s primary point of contact by maintaining a presence in department suite throughout 90% of the work day or as agreed by alternative work arrangements.
  • To ensure all work is completed in an accurate and timely manner despite many persistent interruptions and competing deadlines.
  • Remaining calm, collaborative, helpful, and professional when assisting students, faculty, staff and other stakeholders.
  • Consistently engage in professional and respectful communication in regards to all stakeholders.
  • To preserve confidentiality of faculty and student information and / or details according to FERPA, Weber State University, Goddard School and departmental processes and procedures.
  • Communicate, interact and coordinate interactions between the department and the university and local community groups.

Networking and relationship building.

This position requires a high level of familiarity with all aspects of the campus community and key personnel. The staffer should maintain knowledge of all campus policies / procedures to ensure good working relationships within the campus community.

Required Qualifications Required :

  • High School / equivalent.
  • Three years full-time related administrative and / or office management experience.
  • Experience with enterprise-wide databases and PC software (including word processing and spreadsheets).
  • Basic accounting and bookkeeping skills.

Preferred Qualifications Preferred qualifications include :

  • Capacity to organize, prioritize, multitask, and meet deadlines with little supervision.
  • Ability to work as a team member and to interface effectively with diverse faculty, students, other campus departments, and external clientele.
  • Business degree preferred but any 4-year college would be acceptable.
