Job Title: Participatory Grantmaking Coordinator
FLSA: Exempt

Reporting to: Participatory Grantmaking Manager
Department: Empowerment and Integration

Scope:

Wayne Metro’s Participatory Grant Making promotes collaboration among internal and external stakeholders to develop, implement, and evaluate strategies for eliminating poverty in Wayne County. The team implements programs that provide community leaders and emerging organizations with the resources, capital to offer responsive and relevant community services and drive community transformation. In addition, the PG team maintains and strengthens mission driven networks of stakeholders working for collective impact; including the Regional Advisory Councils and the Detroit Residents First Fund. The coordinator is responsible for assisting themanager in developing and implementing program plans and processes to ensure program outcomes are met in a timely and efficient manner effectively. This includes instructing and monitoring Participatory Grantmaking Specialists, grants administration, overseeing database and reviewing files, serving as the first point of contact for escalated client cases, facilitating collaboration, and day to day clerical and administrative tasks required to maintain PG programs.

Essential Functions

  • Implement Grant and Capacity Building Programs, which includes but is not limited to:
    • Drafting program materials
    • Assisting with the creation of data tracking methods and maintaining databases
    • Processing grant applications, verifying documentation and paperwork, maintaining accurate files, keeping case history files current and responding to client inquiries and complaints in a timely manner.
    • Providing technical assistance to applicants and grantee partners throughout the entire grant cycle from application to close out.
    • Implement monitoring, evaluation and communication plans
    • Event coordination and presentation development
    • Connect partners to Wayne Metro services and other community resources to support their success and growth
    • Drafting, executing and monitoring contracts, support sub-grantees with budget and scope development and modification as applicable
    • Develop and provide educational opportunities for grantee partners
  • Coordinate and support work of grant specialists
    • Train new employees and provide technical assistance
    • Serve as the first point of contact for escalated issues and for clients requiring a higher degree of expertise or discretion to resolve their specific issues.
    • Provide additional explanation of funding guidelines to the Participatory Grantmaking Specialist team and assist with problem solving client issues or researching clerical problems.
    • Maintain a thorough understanding of funding requirements and program guidelines
    • daily clerical and administrative tasks related to PG programs
  • Schedule and attend meetings, preparing agendas, documenting minutes and conducting appropriate follow up
  • Make recommendations and implement outreach strategies to attract new members and retain existing members of PG stakeholder networks
  • Develop and maintain collaborative relationships with internal and external partners and stakeholders to plan and implement project timelines.
  • Develop and maintain records necessary to document services and program effectiveness in keeping with funding and agency requirements for the purposes of deriving statistics and compiling reports
  • Act as resource, co-create and coordinate innovative work assigned by the Program Manager for all Participatory Grant Making initiatives.
  • Make recommendations to improve program offerings and process improvements
  • Stay abreast of trends in philanthropy and participatory grantmaking
  • Provide consistent information and documentation to all involved parties, as requested or as necessary;
  • Assist in the management communication systems as related to DRFF and Seeding grants, including but not limited to email, voicemail and inquiries;
  • Maintain a positive attitude towards assigned work, clients, and staff, and a willingness to work with others.
  • Perform work in a professional manner that upholds Wayne Metro’s policies and procedures.
  • Other duties as assigned.

Clerical: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates both in a professional office environment with a usually quiet noise level and in a remote work environment. While performing the duties of this job, the employee is regularly required to sit, frequently use hands and to talk or hear. Ability to work remotely a must.

Minimum Qualifications:

  • Bachelor’s degree or a combination of education and experience which is similarly appropriate.
  • A minimum of three years experience in grant procurement, administration, and application processes
  • Knowledge of Wayne County demographics and the needs at-risk populations.
  • Excellent analytical, problem solving and decision making skills
  • Excellent time management skills and demonstrated ability to meet deadlines and manage multiple priorities.
  • Possess strong planning and organization skills with attention to detail.
  • Excellent understanding of customer service practices.

Minimum Competencies:

  • Proficiency in Microsoft and Google Applications (Word, Excel, Power Point) required.
  • Proficiency in internet applications and softwares including Google technology and the ability to learn and utilize the necessary programs and softwares for this position.
  • Ability to communicate effectively both orally and in written form.
  • Excellent interpersonal and professional skills including but not limited to professional appearance, tact, punctuality, and dependability.
  • Ability to collect and evaluate data regarding service needs, present services, and service gaps; and through such an evaluation, develop solution focused programming for stakeholders throughout Wayne County.
  • Ability to empathize and provide services for those persons facing economic, social, health, age, and educational barriers.
  • Ability to work independently or in a team environment (as deemed necessary).
  • Perform work in a manner that upholds Wayne Metro policies and procedures.

Licensing and Other Requirements:

  • Valid driver’s license and reliable transportation.

Travel Requirements:

  • Ability to travel to various sites.

Work Hours: Flexible work hours to be scheduled Monday through Friday, specific need to be determined by program.
