Job Summary

The Capital Contracts Administrator will support the Design and Construction Department by facilitating contracts, vendor compliance, and payments for construction related projects.

Your Impact and Job Responsibilities

  • Facilitate compliance by assisting vendors with insurance and other credentialing requirements.
  • Process contract and change order intake requests.
  • Review contract requests and bid evaluations for completeness and accuracy.
  • Ensure contract values align with current project budgets.
  • Prepare contract documents and facilitate approvals and signatures.
  • Liaise with internal and external counsel to address contract modifications and redlines, when necessary.
  • Distribute executed contracts and electronically file relevant documentation.
  • Work with IT on large contract imports.
  • Develop reports and summarize information as needed.
  • Provide administrative support to the Capital Improvements Team.
  • Identify potential efficiencies and develop or improve program Standard Operating Procedures.
  • Assist with Program data collection & analysis and reporting.
  • Routinely use computer software programs such as Microsoft Outlook, Excel, and Word; also, SharePoint, Nitro, Yardi, DocuSign, RealPage (FKA Compliance Depot), Vendor Shield, Power BI, and Textura.

What You’ll Bring- Desired Skills and Experience

  • Associates or Bachelor's Degree in business management or similar, or relevant job experience.
  • Ideally 2-4 years of experience in construction, contract, or real estate administration.
  • General knowledge of processes, budgeting, accounts payable, and document management.
  • Proficiency in Microsoft Office (Word, Excel, SharePoint, and Outlook) programs.
  • Communication – This position requires exceptional verbal and written communication skills. The position will be expected to discern and convey relevant information in a professional and timely manner.
  • Leadership – A strong sense of initiative and an ability to oversee and provide directive to contractors and vendors are characteristics essential to the position.
  • Ethical Behavior – Transparency, attention to detail and forthright communication are required. Must work in accordance with company standards and federal/state regulations.
  • Efficiency – Excellent time management and prioritization skills are necessary.
  • Collaboration – The position is expected to work well within a team.
