Washburn Center For Children is Hiring a Special Events Coordinator Near Minneapolis, MN

To learn more about how we do that work in homes, schools and clinic-based services, visit us online.In collaboration with the Associate Director of Individual Giving, the Special Events Coordinator is charged with the creative envisioning, strategic planning and administration of multiple community outreach and fundraising events. This individual is responsible for reviewing existing Washburn Center events and working with staff, volunteers and Trustees on innovative ideas to improve and refresh experiences for the organization’s supporters and increase contributed income.The Special Events Coordinator will develop, sequence and manage the pre-event timeline, work with Advancement team members and Trustees to secure financial and in-kind sponsors, collaborate with Marketing & Communications to create compelling event communications and promotional materials, coordinate the involvement of volunteers and oversee event execution. Post-event, this individual will be responsible for evaluating the event quality and return on investment and producing financial analysis of the event.The Special Events Coordinator is responsible for professionally executing the annual Golf Wine & Brew and The Washburn Games. Additionally, this position will attend 3-4 community outreach events per quarter to support fundraising goals and cultivate strong relationships with new and existing partners and manage the School Supply, Winter Clothing and Holiday Gift Drive. Specific duties include:Event Administration and Evaluation1) Create and manage event timelines in coordination with colleagues across departments to ensure all elements including but not limited to event staging, promotion, auctions, entertainment, speakers, venue, and refreshments are delivered on time.2) Demonstrate strong project management skills to keep multiple tasks moving across different timelines and teams. Must have the ability to handle task prioritization and balancing of several projects.3) Strong written and verbal communication is required to develop event related communications. In partnership with Marketing & Communications, create compelling on-line and print communication pieces for event management, promotion and materials.4) Support the Associate Director in working with event committees. This includes meeting logistics, building agendas, communications, note taking and meeting follow up.5) Manage and oversee event day logistics which requires problem solving, welcoming guests, directing set-up and take down, managing live and silent auctions, managing event volunteers, communicating with staff, organizing vendors, and other logistics.6) Represent Washburn Center at 3-4 community events each quarter to build awareness and cultivate relationships.7) In collaboration with Development Assistant, manage the agency’s school supply, winter clothing and holiday gift drives, working with the Advancement Team to secure donor participation.8) Track prospect, participant and event information in Raiser’s Edge database.9) Manage relationships with event vendors.10) Ensure post event wrap-up and reporting to committees, as well as the evaluation of event activities and identifying opportunities to improve results.11) Other duties as assigned based on organizational priorities.Sponsor Relations and Fundraising1) Develop and build relationships with donors, volunteers and trustees. Solicit current and prospective sponsors. Actively research and cultivate new corporate sponsors with the goal of increasing net event revenue.2) Manage a portfolio of 30 – 40 event donors and/or sponsors to encourage long-term relationships with Washburn Center events and mission.3) Responsible for in-kind solicitationsFinancial Management1) Manage the budget to maximize both event quality and fundraising return on investment.2) Issue invoices and collect payments in a timely fashion, focusing on donor/sponsor stewardship.3) Create comprehensive financial reports.Volunteer Management1) Recruit, coordinate, support and motivate community and staff volunteers for events and other agency opportunities.2) Develop and refine job descriptions for all volunteers, provide appropriate training and ensure meaningful acknowledgement.Salary Bracket: $48,000 - $54,000 (Salary is based on several factors including but not limited to licensure, work experience and education)Benefits at Washburn: Washburn offers all benefit eligible employees comprehensive Dental, Vision, Health, Life and Long term disability insurance. Additionally we offer a Retirement plan and a Flexible benefit plan. Vacation: Paid Vacation accrues at 10 hours of vacation per month - up to 15 days / 120 hours annually.Sick Leave: Paid sick leave accrues at 6.68 hours of sick per month - up to 10 days / 80 hours. Employees may accrue up to 480 hours, which is equivalent to 60 work days of sick leave time.Holidays: There are two and half floating holidays per year in addition to the eight standard holidays. Vaccine Requirements at Washburn: Washburn Center for Children (WCC) maintains a COVID-19 Preparedness Plan that mitigates the transmission and spread of COVID-19 to ensure the safety of staff, clients, residents, and community members.
