Description

GENERAL JOB DESCRIPTION
The Director of Operations is responsible for the proper and efficient operation of all company retail outlets, ensuring the company has the proper operations controls, administrative and reporting procedures, and people systems in place to effectively grow the organization and to maximize financial strength, operating efficiency, and satisfy company goals and objectives. This position is deemed part of the Warrenton Oil Company Critical Response Team.
DUTIES & RESPONSIBILITIES
Oversee retail division as a whole, including all retail operating and office staff, merchandising, food service, marketing and promotions staff, and social media initiatives (this is not an exhaustive list).
Establish and measure quantitative and qualitative metrics, guidelines, and standards by which Warrenton Oil Company retail division can be evaluated for efficiency and effectiveness.
Review, analyze, and evaluate business processes throughout the retail division to include POS systems, software, and more. Identify and implement policies and procedures that will improve day-to-day operations.
Responsible for leading the retail division to execute, achieve, and surpass sales, profitability, cash flow, and business goals and objectives.
Collaborate with the executive management team to develop and implement plans for the operational infrastructure of systems, processes, and personnel to accommodate the rapid growth objectives of Warrenton Oil Company.
Represent Warrenton Oil Company by maintaining a positive company image at all times to employees, customers, clients, vendors, business partners, industry leaders, and the community.
Plan, direct, control, implement, evaluate, monitor, and forecast budgets and cost of sales in reporting departments to achieve financial objectives. Assist in the budget, design, and layout of new convenience stores, delis, etc., including oversight of any part of site acquisitions related to the retail division.
Own company fuel pricing to include: assist in the development of site level fuel margin and volume objectives and implement site level pricing strategies; manage fuel prices daily via the company fuel pricing module; perform analysis as necessary on available fuels and marketing data to determine competitive market conditions and optimum fuel strategy; conduct compliance rides to assess price strategy compliance and identify site attributes.
Communicate and explain new directives, policies, and procedures to managers; for significant changes, meet with entire operations staff to explain changes, answer questions, and maintain morale.
Lead coordination and integration of efforts among operations, technology, maintenance, and other divisions to produce efficient workflows and cost-effective business processes.
Provide timely, accurate, and complete reports on the operating condition of the retail division; present said information during company benchmark meetings and to executive leadership on periodic basis.
Ensure company standards for facility upkeep and image are maintained and that cost-effective technology is used to maximize customer service. Initiate recommendations on purchases of new equipment and improvements to company assets throughout the retail division.
Review and approve all invoices pertaining to retail division and submit approved invoices to the accounting department in a timely manner for processing and payment; contest unverified purchases/costs.
Foster a success-oriented, accountable environment within the company.
Lead and motivate a high-performance management team; attract, recruit, and retain required members on the retail team; provide mentoring in alignment with the company's career development program.
Keep current on information and technology affecting functional areas to increase performance and ensure compliance; attend trade shows / seminars to broaden knowledge and stay up-to-date on trends / products.
Determine labor needs and ensure they are adhered to throughout the retail division.
Effectively train, coach, and discipline staff on an on-going and as needed basis. Assist in career development. Conduct timely annual performance reviews for all direct reports and ensure the same are conducted for all retail employees.
Ensure quality customer service standards are consistently being met. 
Lead efforts to reduce inventory shrinkage, product loss, and waste.
Observe safety and security procedures; use equipment and materials properly.
Remain current with all company manuals and handbooks. Adhere to all company policies / procedures, and ensure employees do the same.
Negotiate contractual terms with vendors, keeping Warrenton Oil Company's interests top of mind; maintain warranties and manuals on all equipment.
Adhere to all city, county, and state health and food safety regulations.
Job may require other duties as assigned.

CRITICAL RESPONSE TEAM
During extraordinary times of severe weather or emergency conditions, some positions require on-site presence and leadership to continue business operations, known as Critical Response Employees. During severe or emergency situations, or when a State of Emergency has been issued, Critical Response Employees are required to report to or remain at work, ensure the safety of all employees and customers, serve as the person-in-charge for all site-specific needs, serve as liaison with emergency personnel and upper management, and maintain a calm demeanor while executing a sense of urgency to the critical response situation, even if under duress. Any media inquiries during a critical response situation should be directed to the Director of Human Resources.
WORKING CONDITIONS
WORK ENVIRONMENT 25% travel; office and retail environment. Exposure to fumes or airborne particles, moving mechanical parts, and vibration.
PHYSICAL ABILITIES Lift up to 25 pounds carrying cases of merchandise and moving equipment, stock storage areas and coolers, and react to a fire by lifting a 25-pound fire extinguisher.

Qualifications


EXPERIENCE, EDUCATION, & TRAINING
Minimum of ten (10) years of proven operational experience in the retail, restaurant, grocery, or other service industry.
Minimum of five (5) years of proven experience in a senior management role.
Previous experience with consumer products and Big Box, national, and regional mass-merchant retailers.
Bachelor's Degree in Business or related field, or equivalent.
Master's Degree in Business or related field, or equivalent, preferred.
