Walt Disney World Resort is Hiring a Group Events System Support Associate Near Buena Vista, FL

About the Role & Team

Are you passionate about creating and developing customized websites, registration forms, and mobile websites within vendor-based solutions to support various partners? We're seeking a part-time Systems Support Associate to support group markets such as Disney Meetings, Disney Institute, Merchandise, Disney Consumer Products, College Recruiting, Public Relations, and several other partners! In this role, you will process new build and modification requests via various platforms including phone and email from internal partners across The Walt Disney Company Enterprise. You will advance sales efforts and efficiencies by anticipating needs and proactively providing solutions applicable to each market and/or business use case. This role creates, tracks, and maintains user IDs, training materials, and reports, as well as, provides support for reservations and bookings for Disney-sponsored events including guest inquiries, pre-arrival and post-event communication, travel arrangements, merchandise orders, payments, on-site check-in, and fulfillment. You will handle reporting and financial reconciliation at the reservation, event, department, and line of business levels. Join our Team!

You will report to the Group Event Systems Manager.


What You Will Do

  • Actively review all project timelines to ensure the overall project objectives are met.
  • Create and maintain online event registration portals for a variety of business units using EventsWithDisney, a cloud-based Event Registration system presented by Certain Software, LLC. Develop sites that handle end-to-end registration including creating and updating guest profiles, agenda items, itinerary sessions, and more, accepting asset distribution data, accommodating guest groups and entitlements, creating informational multi-page websites, posting fees accurately, handling inventory-based items and waitlist functionality, and creating invitations (physical and electronic) and receiving final confirmations.
  • Be responsible for merchandise event builds in the Merchandise Special Events system, email templates in Courier, virtual queue builds within the “Queue–It” system, and audit user IDs for Certain.
  • Collaborate with new partners to discover their needs and craft solutions for their businesses.
  • Assist in developing and implementing new event systems and next steps for EventsWithDisney resources, and proactively suggest solutions for event partners as new system functionality is released.
  • Knowledge of the Disney brand, product offerings, and other internal business rules, policies, and procedures on how registration sites are built and led.
  • Provide internal communication items on Action Plans and timelines, RSVP Reports, and updates to key partners, Standard Operating Guides, and training materials.
  • Abide by all guidelines and complete all asset receipts, distribution, reconciliation, and return.
  • Assist the Event Solutions team with guest/client individual registration support needs including end-to-end Guest/Client registration process, distributing event communication messages, processing finance information and merchandise transactions, ordering and distributing ticket media and parking passes, stuffing Welcome Packages, name badges/credentials and other relevant tasks, as needed.


Required Qualifications & Skills

  • At least one year of related experience in system administration or equivalent
  • Basic understanding in HTML & understanding of JavaScript and CSS
  • Proficient in Microsoft Office, Adobe Illustrator, and Adobe Photoshop or similar image editing software
  • Validated ability to build functional Logic Rule (i.e. if, then, and, or)
  • Excellent Guest Service skills and familiarity with providing creative solutions and continuous improvement process
  • Skilled in using reporting systems, running various reports, and analyzing data
  • Strong organizational, attention to detail, and prioritization skills
  • Collaboration skills with the ability to work both independently and on a team while partnering with all levels of management
  • Ability to work a flexible schedule, including overtime, as needed
  • Poised with vendor and software design to recommend and improve software capabilities
  • Ability to handle confidential information, multi-task, and deliver quality and timely work


Preferred Qualifications

  • Previous or current work experience with Walt Disney World
  • Computer system knowledge of Certain (EventsWithDisney), Queue-It, Concur, Guest Service Suite, and website and online form creation
  • Experience with project/event management.
  • Knowledge of Group markets (such as Resort Sales, Merchandise, Disney Institute, Corporate, Public Relations, Sports, Recruiting, etc.)
  • Ability to think out of the box and discover new ways of doing things
  • Knowledge of event management solutions, cloud services, software as a service (SaaS)
  • Understanding of Payment Card Industry (PCI) and Personal Identifiable Information (PPI) laws and regulations
  • Associate’s Degree or Bachelor's Degree or equivalent experience

  • High School Diploma or equivalent
