Walnut Hill Landscape Company is Hiring a Landscape Management Admin/Estimator Near Annapolis, MD

Job Description: Landscape Management Admin/Estimator

Purpose:

The Landscape Management Admin/Estimator is a vital member of the Landscape Management Division. This role is responsible for accurate contracts, estimates, proposals and communications for the Landscape Management Division. This role works directly with the Production Manager and reports directly to the Landscape Management Division Manager.

Success in this position will be measured by:

  • Jobs are completed on time while meeting or exceeding goals
  • Demonstrated proficiency using all software and technologies required of the job
  • Estimate closing ratio from LMN
  • Client & vendor satisfaction
  • Performance reviews conducted by the Landscape Management Division Manager
  • Jobs are completed on time while meeting or exceeding goals

Detail Overview of Responsibilities:

Customer Service:

  • Provide a high level of business professionalism, courtesy and mindfulness 
  • Respond to phone calls and other communications according to the 10-5 Rule
  • Develop effective relationships with clients, vendors, & team members 

Sales & Estimating (General):

  • Assign/Track leads & potential projects in LMN
  • Monitor the estimating process until jobs are sold
  • Meet with Sales and Production weekly to review potential/current projects and schedule 
  • Review estimates for accuracy and provide guidance throughout the estimating process 

Contract Estimating:

  • Assist Sales team with estimating and contracts as needed
  • Review plans: weekly and yearly services, calendar, time lines, etc.
  • Get any sub-contractor and materials quote per job if needed
  • Create estimate/service in LMN
  • Review all contracts/estimates, proposals, & change orders with Sales team and Landscape Management Division Manager prior to submission to client
  • Meet with Sales team weekly to review sales & estimating progress

Enhancement Estimating:

  • Receive and enter leads into LMN
  • Contact leads/clients to coordinate plans/specifications, project name, budget, start & completion dates
  • Perform site visit to take photos, measurements and ensure the successful execution of the project
  • Obtain sub-contractor & material pricing as needed 
  • Facilitate meeting with Landscape Management Production Manager to confirm estimated labor hours for each job
  • Create estimate in LMN
  • Review all contracts/estimates, proposals, & change orders with Sales team and Landscape Management Division Manager prior to submission to client within appropriate timeline
  • Once job is sold, prepare all documentation needed for production, purchasing, & accounting to successfully execute contract or project
  • Perform walk throughs with clients, Landscape Management Division ManagerLandscape Management Production Manager to review any items needing attention

Maintain Pricing Database:

  • Accumulate Annual Vendor Pricing Lists and Input into The Item Catalogue
  • Get Proposals on Materials and Sub-Contractors as Needed Per Job
  • Keep Pricing Database Up to Date at All Times
  • Ensure That All Bidding Assemblies and Production Rates Are Accurate

Minimum Qualifications and Educational Requirements:

  • Bachelor’s Degree preferred
  • 4 years’ experience in Estimating & Project Management
  • Sound knowledge of the technical specifications of landscape maintenance contracts
  • Professional certification recommended
  • Strong knowledge of the following Software/Technology:
  • CAD skills, AutoCAD, Vector Works, Blue Beam, etc...
  • Microsoft Office Suite (Excel, Word, PowerPoint)
  • LMN (budgeting, estimating and electronic timekeeping)
  • Dropbox (Cloud Storage)
