The Inventory Control Specialist maintains the inventory of various items within Public Works. This includes establishing inventory levels, researching vendors and suppliers, purchasing, receiving, and distributing goods, administering warranty claims and/or product returns, and processing related invoices. The Inventory Control Specialist maintains accurate inventory counts and records data utilizing management software and preparing reports. The position also assists in administering bids and purchase orders. Other duties include overseeing the operation and compliance of the citywide field sites and fuel management system, assisting in the communication of building maintenance items at the Public Works facilities, and participating in snow plowing operations. Position Responsibilities Inventory Management. Performs acquisition, warehouse stocking and distribution of routine supplies, fleet repair parts, bulk fluids, maintenance materials, select services and other various items. Keeps assigned work areas clean and free of clutter. Maintains efficient storage and distribution of items by developing warehouse operating procedures. Uses assigned software to record orders, inventory levels, received and issued goods, and other inventory control activities. Maintains accurate inventory records such as stock counts, usage volumes, product pricing, product quality/ warranty problems, purchase order requisitions, vendor information, and product specifications.
Vendor Research and Communication . Stays familiar with industry suppliers and vendors of commonly purchased goods. Obtains product specification needs and researches product availability. Communicates with vendors and internal customers regarding the determination of product availability, solicitation of bids/quotes, order status and delivery schedules. Negotiates prices and mediates product discrepancies with vendors.
Purchasing, Billing and Invoice Reconciliation. Administers the ordering and invoice payment process by preparing purchase order requisitions, making purchases, and receiving and distributing vendor payments. Assists in the administration of formal bid processes and budget forecasting. Participates in bid award recommendations and assists in the preparation of select service agreements. Performs return orders and warranty claims.
Facilities Communication . Periodically inspects additional PW maintenance facilities. May serve as a central contact and communicator to assist the facilities department on internal or outside contractor coordination in regard tobuilding maintenance needs.
Reporting and Administration. Develops and prepares work management reports such as product evaluations, usage volumes, pricing trends and turnover rates. May perform research to provide data and support for the department's performance measurement and bench marking programs. Serves as one of the primary contacts for assigned software systems. Assists software vendor with system upgrades, maintenance, training and workflow processes with assigned software systems.
Fuel Tracking. Oversees the city fuel sites. Assists in the bidding and procurement of vehicle and Public Works Maintenance facility fuels. Monitors fuel storage levels and coordinates with vendors to maintain adequate supply and fuel types. Collects system readings, maintains test records and coordinates with vendors to resolve system problems and/or fuel supply quality problems
Registration, Permits and Compliance. Assists in environmental compliance activities as assigned. Ensures city fuel sites and supplies meet any KDHE regulatory compliance. Maintain an industry working knowledge of how safety information can be obtained for chemical and material supplies purchased, stored or used within the Maintenance Division.
Emergency Operations. Responds for snow removal and ice control operations as well as other emergency operations during off-duty times and during regular work hours when necessary to mitigate the emergency. Response includes both office and field duties.
Minimum Qualifications This position is part of a career development track, which includes an Inventory Control Specialist I, II and Senior levels, depending on qualifications.
Minimum Qualifications for an Inventory Control Specialist I:
- High school diploma or the equivalent is required
- One year of experience with auto parts, inventory, bookkeeping, accounting, or related work experience. Additional education or certifications can be substituted for work experience.
The hiring salary range for the Inventory Control Specialist I position begins at $21.00 per hour.
Minimum Qualifications for an Inventory Control Specialist II:
- High school diploma or the equivalent is required
- A minimum of four years of experience with auto parts, inventory, bookkeeping, accounting, or related work experience. Additional education or certifications can be substituted for work experience.
- ASE certifications, inventory management certifications, and/or asset software experience are preferred.
The hiring salary range for the Inventory Control Specialist II position begins at $23.25 per hour.
Minimum Qualifications for a Sr. Inventory Control Specialist:
- High school diploma or the equivalent is required
- A minimum of seven years of experience with auto parts, inventory, bookkeeping, accounting, or related work experience. Additional education or certifications can be substituted for work experience.
- ASE certifications, inventory management certifications, and/or asset software experience are preferred.
The hiring salary range for the Sr. Inventory Control Specialist position begins at $25.00 per hour.
The below licenses and certifications are required for
all levels.
- Commercial Driver's License (CDL) Class A with air brakes and tanker vehicle endorsements, or the ability to obtain within 180days of employment.
- KDHE required underground storage tank Class A/B operators license or the ability to obtain within 90 days of employment.
- Forklift operators certification, or the ability to obtain within one year of employment.
- Ability to complete basic fuel management software training within 90 days of employment.
Work Schedule This position generally requires eight hour days, Monday through Friday (excluding holidays). This position may require off-duty hours for snow and ice removal, ice control operations, and other emergency situations. Emergency response shifts begin upon call-in and can occur anytime, day or night, seven days per week including holidays.
