JOB SUMMARY:
The Patient Scheduling Coordinator ensures a smooth appointment process in our ambulatory clinical setting. They handle patient interactions pleasantly and professionally, answer calls, and process requests promptly. Responsibilities include accurate messaging regarding appointments and information requests, requiring excellent customer service and phone etiquette. A regional supervisor is available for escalation of complex issues.

EDUCATION/EXPERIENCE:

  • High school diploma or GED equivalent required
  • One year of office or clerical experience in a direct customer service role required
  • Experience in a high-volume, fast-paced environment with phone and electronic messaging required
  • Medical terminology preferred
  • Bilingual in Spanish preferred

LICENSURE, CERTIFICATION, AND/OR REGISTRATION:

  • Satisfactory score on a departmental data entry test required

ESSENTIAL FUNCTIONS:

  1. Uses computer programs and guidelines to schedule, update, and cancel appointments.
  2. Follows policies to ensure complete and accurate registration data, billing, statistical information, and authorization records.
  3. Coordinates with coworkers to meet departmental assignments and targets for abandoned call rates.
  4. Screens calls, delivers clear messages, documents scheduling information, and communicates effectively with clinical departments.
  5. Assists with patient care documentation, insurance requirements, and obtaining referring clinic documentation.
  6. Contributes to department improvements and problem-solving.
  7. Acts as a liaison between patients, medical staff, and external agencies, anticipating workflow needs.
  8. Performs other related duties as assigned.
