HEDS Survey Administration Manager

HEDS is searching for a Survey Administration Manager, one of six members of the HEDS Survey Team. HEDS administers over 300 surveys a year to colleges and universities across the country. The Survey Administration Manager oversees timelines, schedules, and communications for all HEDS surveys. The Survey Administration Manager also helps set up, test, and download data from completed surveys. This is a full-time, salaried position. This is primarily an in-person position at the HEDS offices at Wabash College with the possibility of no more than two days per week of remote work with supervisors’ approval.

The work of the Survey Team and the HEDS Staff is highly collaborative. As part of a collaborative team, the Survey Coordinator will:

  • communicate clearly with teammates;
  • actively listen to teammates;
  • manage priorities in their work and meet the expectations of supervisors;
  • identify obstacles and address problems cooperatively;
  • take responsibility for mistakes; and
  • work supportively and collegially with teammates.

Key Responsibilities

  • Manage and implement the survey registration process, including timelines, updating registration forms, materials, and webpages.
  • Process survey registrations, including sending confirmation emails, and transferring information from the registration form to various tracking systems, the HEDS CRM, etc.
  • Schedule initial meetings with survey liaisons; manage survey administration calendars.
  • Work with survey liaisons who are late sending materials and other required information.
  • Contribute to survey setup and testing.
  • Contribute to reviews and sending of reports and data files.
  • Manage survey emails; alert team to time-sensitive issues; reply to requests; provide other teammates with an organized list of replies needed along with dates a reply is required, etc.
  • Manage the survey files and folders in Box to ensure proper naming and organization.
  • Assess and implement needed changes in survey registration, communications, etc.

Qualifications and Skills

  • Bachelor's degree or equivalent experience.
  • Skills or experience with Microsoft Office Word and Excel, and Google Calendars.
  • Ability to use or learn to use more advanced features of Microsoft Office software as needed.
  • Willingness to learn how to use the consortium’s survey engine, website, and CRM system.
  • Willingness to learn project management systems and other tools used by the HEDS staff.
  • Attention to detail and precision in organizational skills and work product, including careful attention to deadlines.
  • Ability to work both independently and collaboratively with colleagues on assignments and projects. Values working with a team of colleagues.
  • Ability to identify and willingness to help address the emerging needs of the organization.
  • The confidence and adaptability to work comfortably in a dynamic work environment.
  • Ability to manage multiple tasks in a busy work environment.
  • The ability and willingness to work in a courteous, professional, and responsive manner with representatives from colleges and universities across the country.
  • Strong written and oral communication skills.
