Description

GENERAL SUMMARY:

The Chief of Staff (COS) acts as the CEO's right hand, providing unparalleled support in developing, supporting and executing strategic initiatives, managing key projects, and ensuring the overall effectiveness of the executive leadership team. The COS plays a pivotal role in driving organizational effectiveness, managing critical initiatives, and ensuring seamless coordination across the company. A key aspect of the COS role is demonstrating effective and trustworthy leadership, anticipating the needs of the business, developing and executing strategic plans, and building relationships with internal and external stakeholders. 

THIS ROLE IS LOCATED IN UTAH AND INDIVIDUAL MUST BE AVAILABLE TO WORK A HYBRID SCHEDULE IN OUR LEHI OFFICE

DUTIES & RESPONSIBILITIES:

  • Strategic Initiatives:
    • Collaborate with the CEO and Executive Leadership team on key strategic initiatives, ensuring alignment with organizational goals and timelines.
    • Drive special projects and initiatives, providing comprehensive research, analysis, recommendations and thought leadership. 
    • Proactively anticipate and identify issues that impede business success, providing effective solutions.
    • Tasked with conceiving and executing impactful cross-team projects to adapt to the evolving business landscape, ensuring the team fulfills its obligations. 
    • Take on the role of project manager for C-Suite level projects, providing reporting, tracking, follow up, and overall ensuring execution of key projects and initiatives. 
  • Communication and Coordination:
    • Collaborate with the People Operations and Marketing teams on internal communications and any direct communications from the CEO to both internal and external stakeholders, helping to ensure the communications strategy is executed effectively. 
    • Lead cross-functional coordination efforts, ensuring seamless collaboration across departments.
    • Regularly interact with team members across all levels of the business, displaying exceptional written and verbal communication skills to ensure information and direction are conveyed clearly. 
    • Promote Vyne’s Mission, Vision and Values in interactions, communications, and supporting in day to day operations. 
  • Meeting Facilitation:
    • Prepare presentation materials for executive meetings, board meetings, and Town Halls, ensuring well-organized, productive, collaborative and effective communication takes place. 
    • Take and share meeting notes, follow up on action items, track progress, and drive accountability in a results-driven manner.
  • Data Analysis and Reporting:
    • In conjunction and partnership with the data team, compile, analyze, and present data to support decision-making processes.
    • Generate regular reports on key performance indicators and strategic initiatives.
    • Effectively lead efforts related to business modeling and strategic planning, using relevant metrics and data. 
  • Organizational Efficiency and Problem Solving:
    • Identify opportunities to enhance organizational efficiency and effectiveness, creating action plans and implementing.
    • Implement process improvements and streamline workflows in collaboration with department heads.
    • Utilize organization and planning expertise to prioritize tasks, schedule meetings and resolve work conflicts without burdening the executive leader. 
    • Able to independently problem solve and find effective resolutions to issues in a deliberate and efficient manner
    • Identify potential problems and implement solutions to bolster the organization’s resilience and adaptability.

Qualifications


EDUCATION, KNOWLEDGE, SKILLS & ABILITIES: 

  • MBA or equivalent business degree required
  • A minimum of 2 years of proven experience in a Chief of Staff or equivalent role required, preferably within the SaaS and/or Healthcare industries
  • Experience in the Dental or Software industry strongly preferred
  • Exceptional organizational, project management, and analytical skills. 
  • Excellent written and verbal communication skills
  • Ability to work independently and handle sensitive information with discretion.
  • Ability to translate high level business priorities into clear and simple initiatives that achieve company goals
  • Ability to meet deadlines, handle and prioritize simultaneous requests, projects, and activities across all levels within the organization
  • Proficient in G-Suite, Slack, Asana, Salesforce and other Saas applications
  • Strong interpersonal skills, ability to communicate and manage well at all levels of the organization and with staff at remote locations essential.
  • Strong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analyses.
  • High level of integrity and dependability with a strong sense of urgency and results-orientation. 
  • Knowledge of the dental industry, healthcare, insurance or similar field is a plus but not require
