Overview

Serve as Administrator of a Licensed Home Health Agency in compliance with local regulations and state and Federal laws. Provide leadership and direction for the Private Care Services of the VNA (Agency), including the strategic, financial, client relations, and administration functions to achieve the VNA mission and vision. Responsible for the long-range planning of the Private Care Services to achieve strategic plan goals and objectives. Provide direction and leadership for the operation and its staff to ensure compliance with all regulatory entities. Ensure compliance with all VNA policies and procedures. Demonstrate and integrate the Core Values of the VNA in the performance of duties.

Responsibilities

Essential Job Duties/Responsibilities:

The individual must be able to perform the essential job duties and responsibilities to be effective. Other duties may be assigned as needed.

  • Participate with Board of Directors and/or Senior Leadership Team on the development and implementation of the VNA strategic plan, including industry trends, assessment of community and customer needs, benchmark data and SWOT Analysis to identify and commit to goals and objectives for private duty function, and the agency.
  • Represent Private Care Services and VNA in the community to enhance brand image and reputation, expand profitability and growth, and to promote best in class agency and service within the private services home care industry.
  • Interact with donors, clients, caregivers and stakeholders regularly and represent the VNA in client care matters that could impact the reputation and credibility of the agency.
  • Propose, recommend and develop new programs to Board of Directors, VNA Leadership team and identified stakeholders to expand Private Care Services.
  • Understand and comply with VNA policies and practices that guide the agency regarding associates, technology, financial, brand, quality, and compliance. Communicate VNA policies as needed to staff.
  • Assess internal processes, policies and practices to improve quality of service delivery model, set performance expectations and direct associates on long-term and daily objectives to ensure effective and transparent operation to clients, stakeholders, and community partners, as well as, internal departments and functions within the agency.
  • Conduct staff meetings to communicate, inform and integrate field staff into the work environment.
  • Develop and monitor fiscal year budget; collaborate with key leaders during budget creation as needed. Approve budgeted expenditures as planned. Review monthly financial statements and implement recommendation for variance control.
  • Determine order of succession for areas of responsibility during absence.
  • Select, hire, develop and manage staff, utilizing VNA systems, processes and tools. Conduct appropriate performance evaluation, including annual, competency and shared visit, to comply with VNA and governing agency regulations.
  • Direct and manage associate performance, including recognition, performance improvement plans and after consulting with VP of Human Resources and/or Compliance Officer, if needing to investigate a client complaint, incident and/or to terminate an associate’s employment; provide appropriate documentation to support employment outcome for unemployment and/or legal purpose.
  • Oversee surveyor process during state licensure inspections; collaborate with Human Resources to ensure proper documentation is contained in each associate’s employment and education file.
  • Maintain agency license with Agency for Health Care Administration (AHCA), CLIA licensure exemption, all regulations required to meet licensure and accreditation; and update annual Disaster Emergency Preparedness plans.
  • Assume responsibility for Agency activities at all times, before and after hours.
  • Oversee billing and payroll verification and processes in conjunction with VNA Finance Department.
  • Direct and participates in implementation of an on-going community awareness program and ensures accuracy of public information materials and activities.
  • Handle client complaints not resolved by nurse case managers, in conjunction with Chief Regulatory Officer.
  • Handle unresolved problems between staff and supervisors.
  • Ensure the development and implementation of a continuing education program to meet identified staff needs.
  • Develop an open, positive rapport with community resources affiliated with Home Health care services.
  • Maintain high visibility and availability in the office telephone or in person to physicians, referral sources, community resources, clients and staff.
  • Oversee Home Health Aide training program for prospective applicants.
  • Responsible for setting program goals, in relation to agency goals and vision. Responsible for monitoring and attaining goals.
  • Maintain confidentiality of personnel and client records at all times, as required by law and policy.
  • Ensure a safe and healthy working environment for associates and visitors. Follow VNA safety policies/procedures. Report accidents or unusual incidents immediately to the supervisor and Human Resources
  • Familiar with the regulatory and compliance issues that guide the Private Care business
