Vivida Dermatology is Hiring a Med Spa Front Office Specialist Near Las Vegas, NV

Vivida Dermatology is expanding our Medical Spa, and seeking to fill an opening with our Front Office Team. We are looking for an individual that enjoys helping others to be the best version of themselves with a fun and professional attitude. Previous experience in a Med Spa environment is a plus.

The Med Spa Front Office Specialist is a crucial part of our Med Spa Team. You are the front door to the practice – whether on the phone or through the door. You will be responsible for checking patients in/out, scheduling appointments, answering phone calls, and handling other day-to-day operations. Primary duties include scheduling patients for procedures and advising case details and requirements. Coordinates appointments with a high level of customer service skills interacting with patients, providers and other team members for treatments. Excellent customer service, and the ability to multi-task are the foundation of this role. 

KEY JOB RESPONSIBILITIES:

  • Superior time management skills due to fast-paced nature of the position.
  • Computer and phone skills are a must for this role.
  • Schedule patients in person and over the telephone for medical spa services.
  • Answer questions, schedule appointments and convey information to the clinical team.
  • Respond to patient issues and return calls and emails to patients in a prompt manner. All email and calls from patients should be returned by end of business.
  • This position will confirm all patient appointments prior to scheduled date.
  • Manage wait times for patients. Communicate with team leads throughout the day.
  • Handling cash transactions and making change for patients as needed.
  • Check-in and check-out of patients.
  • Responsible for opening and closing the Med Spa office.
  • Provides patient education per provider protocol.
  • Maintain/update schedules and calendar(s).
  • Establish and maintain effective working relationships with external contacts, patients, providers, and fellow team members to optimize patient experience.
  • Knowledge of apps and reward programs, such as Alle a plus.
  • Organize and maintain accurate inventory counts.
  • Answer messages, emails, and/or voice mails in a timely manner.
  • Compliance with HIPAA guidelines.
  • Travel to other Vivida Dermatology sites may be required.
  • Other duties as assigned

EDUCATION REQUIREMENTS:

  • High school diploma required.

EXPERIENCE REQUIRED

  • Previous Med Spa experience a plus.
