Key Accountabilities

1) Be the “First Face” of the community. As the first touch point a visitor has with our community, you will serve as the host coordinating the efficient flow of incoming and outgoing visitors and ensuring exceptional customer service is provided at all times.

2)Be the “Administrator of Administrative Tasks. Responsible for administrative services for Resident Services and the front desk.

3) Be the “Engineer of Encouragement” for team members and residents. As a lead, you need to be skilled in the art of arranging, managing, and carrying out the transfer of enthusiasm for Resident Services events and programming.

Duties

  • Provide administrative services for Resident Services, oversee volunteer resident receptionists, transportation schedule, and social media management.
  • Perform front desk and administrative tasks, including answering phones, assisting with special projects for service areas, etc.
  • Maintain and be responsible for reception area and assist the Resident Services Director and Operations Coordinator.
  • Provide first-class customer service to all residents, visitors, and employees.
  • Present a professional demeanor that communicates a corporate philosophy of service, goodwill, and genuine interest in each resident’s needs.
  • Assist in oversight of receptionists when Operations Coordinator is out of building or unavailable.
  • Lead the internal and external move-in process.
  • Assist in the design, organization, and evaluation of a planned activity program.
  • Maintain Communication log and communicate findings.
  • Maintain schedule/resident sign-up sheets for activities/transportation.
  • Attract potential residents by providing a warm, friendly atmosphere; be open to questions and the relationship-building processes; and gather appropriate information upon arrival.
  • Proactively address problems and concerns for both residents and employees.
  • Answer phones for Administration and Marketing in an efficient (two rings) manner and follow up appropriately with message-taking according to company procedures.
  • Transfer telephone service when away from desk and maintain answering protocols.
  • Assist with day-to-day clerical office work.
  • Contribute to team efforts by communicating information properly and thoroughly.
  • Management of communications within the building, including entering work orders and performing follow-up telephone calls to ensure resident satisfaction.
  • Observe residents’ ability to perform daily ADLs and social skills, communicate potential difficulties or opportunities to the appropriate team member.
  • Participate in all training offered by employer.
  • Ensure residents who are sleeping in the front lobby/business area are assisted in moving to their apartment, or that they are engaged in a community event or program, and that proper team member is notified.
  • Light housekeeping duties of common areas in sight of front desk.
  • Perform other duties as assigned.
  • Meet with prospective residents and families to discuss services offered.
  • Familiarize yourself with residents, including a detailed understanding of each resident’s unique interests, hobbies, history, and personal challenges.
  • Help in development and maintenance of a resident book, including photograph and contact information of each resident (to remain at the front desk).
  • Assist with creation and publication of monthly or bi-monthly activities calendar and newsletter for distribution inside and outside of the community and on the community web page.

Requirements

  • Be at least eighteen (18) years of age.
  • Knowledge of requirements for providing care and supervision appropriate to residents.
  • Be in good health and physically and mentally capable of performing assigned tasks. Good physical health and freedom from tuberculosis shall be verified by a health screening performed by a physician not more than six (6) months prior to or seven (7) days after employment.
  • Must be criminally cleared by DOJ and FBI background check.
  • Has demonstrated skills, knowledge and competency in the areas of leadership and supervision, including time management and organization, as well as the ability to represent and promote activities and programs.
  • Proficient written and oral communication skills required.


Physical
Requirements

While performing the duties of this job, the employee is regularly required to communicate in person and through written correspondence. This position is sedentary, with employee sitting for six to eight hours per day. This position requires employee to be able to retrieve items from storage, including overhead bins or cabinets. The employee must frequently lift and/or move items up to 50 pounds. The use of a ladder is required. The job functions require both indoor and outdoor work.
