Overview:

The Human Resources Assistant is a pivotal support role within the HR department. This position is responsible for a broad range of activities, including lead generation, appointment scheduling, follow-up communications, data management, and general administrative duties. The ideal candidate will ensure operational efficiency and maintain high standards of professionalism and confidentiality.

Key Responsibilities:

Recruitment Support:

  • Post job advertisements across multiple platforms to attract top talent.
  • Manage and update the lead database to ensure accurate tracking of potential candidates.
  • Coordinate and confirm scheduled interviews and appointments daily.
  • Enter and maintain accurate data in the relevant HR systems.
  • Prepare daily and weekly reports summarizing recruitment activities and outcomes.
  • Review and verify employee timesheets and payroll data for accuracy and compliance.
  • Answer and manage incoming calls with a focus on responsiveness, courtesy, and professionalism.
  • Engage with potential candidates via calls, texts, and emails to schedule interviews, following established protocols.
  • Provide excellent customer service, documenting all interactions in the appropriate systems.
  • Assist in resolving IT-related issues with the support of the IT Specialist.
  • Serve as a backup for various positions within the team as needed.
  • Perform additional administrative tasks as required.

Required Skills and Qualifications:

  • Excellent organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and HR Information Systems.
  • Ability to handle confidential information with discretion.
  • Proactive and able to work independently as well as part of a team.

Education and Experience:

  • Associate degree in Human Resources, Business Administration, or a related field preferred.
  • Previous experience in an administrative or HR support role is highly desirable.

Working Conditions:

  • Office environment requiring periods of sitting and operation of standard office equipment.
  • May require occasional flexibility in hours to cover for absent team members or meet project deadlines

Job Type: Full-time

Pay: $15.00 - $16.00 per hour
