Job Title: Public Relations & Communications Coordinator

Reports to: Director of Public Relations & Communications

Department: Communication Operations

FLSA Classification: Non-Exempt (Hourly)

Salary Range: $25.00-$27.00 hourly (approximately $52,000-$56,000 annually)

Job Summary:

The Public Relations and Communications Coordinator’s primary responsibility is to provide administrative support to the Communications department. Duties would include, but are not limited to, preparing various written communications related to public relations, planning event and meetings, reporting, researching, database management,mail handling and assisting with completion of specially assigned projects.

Supervisory Responsibilities:

  • This position has no supervisory responsibility.

Duties/Responsibilities:

  • Support VISIT DENVER’S vision, mission and values by exhibiting the following behaviors: excellence and competence, collaboration, innovation, respect, personalization, commitment to community, accountability and ownership.
  • Support VISIT DENVER’s efforts related to Diversity, Equity, and Inclusion (DEI).
  • Assist with the preparation of written communications by preparing documents such as press releases, backgrounders, collateral and itineraries for communications/public relation functions. Produce emails, invitations, memos, etc. Proofread copy for spelling, grammar and layout, making appropriate changes.
  • Assist in ensuring internal documents are up to date and organized.
  • Create agendas prior to meetings and track deliverables after.
  • Assist with City Reports and compiling related materials.
  • Conduct various research projects as directed.
  • Accurately maintain department databases including press lists.
  • Prepare and distribute various weekly, monthly, quarterly and annual internal and external reports within established deadlines as directed.
  • Continually monitoring secured media placements, clip and distribute as appropriate in timely manner.
  • Identify relevant Denver information for purposes of tracking departmental goals.
  • Assist with planning and logistics for media itineraries and day-to-day organizing of press kits that have been created by the Communications team.
  • Coordinate updating of external website with latest activities in support of department priorities.
  • Assist in planning and organization of various department activities and events including but not limited to press conferences, trade shows, media FAM tours, travel writer receptions, etc.
  • Communicate with media and partner organizations including assisting in fact checking, introductions and basic media relations.
  • Occasionally staff evening and weekend media events.
  • Assist with preparation of expense reports, document organization and scheduling as directed.
  • Basic accounting duties as directed to include invoicing, service agreements, grants, etc.
  • Provide support for communications staff activities as requested.
  • Organize, maintain, and archive various departmental records.

Required Skills/Abilities:

  • Proficient technology application skills; Advanced MS Office (Word, Excel, PowerPoint & Access), MS Outlook, tracking platforms such as Muck Rack or equivalent and general web browsing and search skills.
  • Excellent command of the English language, oral and written, including use of AP Style.
  • Effective interpersonal skills, maturity, good judgment and capable of communicating in a professional manner with a diverse range of individuals.
  • Efficient and proven organizational skills; ability to prioritize and manage multiple projects/responsibilities simultaneously while meeting stringent deadlines in a fast-paced environment; detail oriented.
  • Resourceful problem solving and follow up skills.
  • Proactive; solid analytical skills; detail oriented.
  • Reliable, dependable, flexible, and responsive.

Education and Experience:

  • A bachelor’s degree in communications, public relations, English, journalism and/or other relevant field of study is required.
  • Minimum one (1) year experience in communications, public relations and/or journalism. Equivalent experience in a relevant internship program may be considered.

Physical Requirements:

  • Must be able to remain in a stationary position, such as sitting or standing, for an extended period.
  • Must be able to bend, stoop, and reach.
  • Must be able to lift a minimum of 40 pounds on an occasional basis.
