Job Description:

The Payroll and Compliance Specialist will oversee payroll operations and ensure compliance with relevant laws and regulations. This role requires meticulous attention to detail, strong analytical skills, and a deep understanding of payroll processes and legal requirements.

Responsibilities: **

  • Manage end-to-end payroll processing for employees, including data entry, calculations, and paycheck or direct deposit distribution.
  • Ensure accuracy and timeliness of payroll transactions, including deductions, garnishments, and tax withholdings.
  • Maintain payroll records and employee information in compliance with data protection regulations.
  • Collaborate with HR and finance teams to resolve payroll discrepancies and address employee inquiries related to compensation and benefits.
  • Stay updated on federal, state, and local payroll tax laws and regulations to ensure compliance with reporting and filing requirements.
  • Oversee third-party payroll provider submission of payroll tax returns, including quarterly and annual filings, in accordance with statutory deadlines.
  • Conduct audits and internal reviews to identify potential compliance issues and implement corrective measures as needed.
  • Assist with payroll-related audits by external agencies and provide documentation and support as required.
  • Maintain, reconcile & remit 403(b) and retirement on a biweekly basis and assist with the annual audit.
  • Update all employees’ payroll and benefits records for the new year.
  • Distribute employee W-2s at year-end.
  • Process Unemployment wage information on an as-needed basis for the Unemployment Office's requests for employment verification and wage information, as well as for Social Security, welfare, housing, and childcare.
  • Maintain General Ledger accounts with payroll.
  • Prepare production and ratio reports (biweekly, monthly, quarterly, and annual) as well as employee average pay reports on a quarterly and yearly basis.
  • Prepare reports for NIB and Unique Source for quarterly ratios and sales. Prepare annual report for NIB.
  • Work with HR to maintain employee pay records.
  • Provide payroll-related information for annual audits and assist with other audit-related tasks.
  • Develop and document payroll policies, procedures, and best practices to ensure consistency and efficiency.
  • Participate in cross-functional projects and initiatives to improve payroll processes and systems.

Responsibilities: **

  • A bachelor's degree in finance, business administration, or a related field is preferred but not required.
  • 2 - 5 years of experience in payroll processing and compliance, preferably in a multi-state or global environment.
  • Proficiency in payroll software and HRIS platforms (e.g., UKG, Inova payroll, ADP) and advanced Excel skills.
  • Strong knowledge of payroll tax laws, regulations, and reporting requirements at the federal, state, and local levels.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with internal stakeholders and external partners.
  • Detail-oriented approach focusing on accuracy, confidentiality, and data integrity.
  • Certified Payroll Professional (CPP) designation or equivalent certification preferred.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Perform additional duties as assigned by the HR Manager.
