Virginia Tech is Hiring a Research Center Coordinator Near Roanoke, VA

Job DescriptionThe Research Center Coordinator will work closely with and under the direction of Dr. Jennifer Munson, Director for the Cancer Research Center at Fralin Biomedical Research Institute at VTC, in Roanoke, VA. The incumbent will maintain a working knowledge of stakeholders, collaborators, and programmatic and administrative objectives in order to schedule and organize meetings, assist in purchasing and reimbursement requests, and generate travel and meeting itineraries for members of the team and guests. This position will assist the Center director in planning and execution of collaborative projects. Experience in business operations is preferred.
Further, The Incumbent Will
  • Manage, with precision and a high level of detail, the complex schedules of the Director and the Center, to include receiving meeting and calendar requests and coordinating logistics for scheduled meetings, seminars, and CRC related events
  • Provide administrative support to senior administrator/executive with calendaring, complex scheduling supporting meetings, and recruitment/visitor itineraries.
  • Identify Diversity, Equity and Inclusion speakers for the Center’s various programs and seminar series
  • Assist with training, mentoring, and curricula development for CRC related programs
  • Interface with CRC in Washington, DC as it pertains to event and retreat collaboration
  • Serve as a representative in replace of Center Director in various meetings and for projects, as needed.
  • Coordinate and book domestic and international travel arrangements for members of the team.
  • Process financial and travel reimbursements
  • Screen and manage correspondence, inquiries, and reports by routing to relevant staff members in an accurate and timely manner.
  • Maintain working relationship with departments throughout the Institute and main campus, including Admin, Human Resources, Finance and Facilities in order to accomplish tasks.
  • Require a high degree of confidentiality, flexibility, and collaboration across a matrixed organization.
  • Additional administrative and operational duties as assigned.
Required Qualifications
  • Experience providing administrative support to senior administrator/executive with calendaring, complex scheduling, and supporting meetings
  • Demonstrated program and project management skills and/or experience
  • Excellent communication grammatical skills and care to precision for written and oral communications
  • Experience working in a demanding, fast-paced environment. Possesses a high level of organization and time management skills to manage time sensitive and competing priorities
  • Must have excellent interpersonal, organizational, and communication skills, and the ability to interact respectfully with all individuals in a diverse multicultural environment
  • Proven ability to cultivate positive working relationships, build and maintain a team based approach, and gain the trust and respect of all levels of internal and external constituencies
  • Demonstrated ability to work with sensitive and confidential matters and perform duties with a high level of professionalism, confidentiality, flexibility, discretion, judgment, diplomacy, and tact
  • Demonstrated knowledge and experience with standard business office equipment and commonly used software and tools, such as Microsoft Office, electronic mail, and the internet
Preferred Qualifications
  • Prior work experience in higher education
  • Desire and ability to understand and communicate Virginia Tech and FBRI policy and procedures related to general financial administration (for the purpose of travel processes, purchasing and reimbursements, and research faculty/staff appointments (including undergraduate, graduate, and post-doctoral hires both domestic and international).
  • Bachelor’s degree, or specialized training and/or significant experience equivalent to a degree.
