Job Title: District Manager

Salary: starting at $75,000 bonuses

Reports To: Owner

Overview:

The General Manager is responsible for overseeing the efficient operation of all departments within the organization. Reporting directly to the Owners, this role involves strategic financial management, efficient business operations, and proactive leadership to ensure the achievement of organizational goals.

Primary Responsibilities:

Financial Management & Reporting:

  • Analyze financial statements, sales reports, and performance data to meet daily, weekly, and monthly sales goals.
  • Manage Cost of Goods accounting for budgetary planning, production efficiency, and financial reporting.
  • Create and maintain budgets, evaluate ROI, negotiate pricing, and monitor the financial health of each location and department.
  • Manage reconciliation process, including invoices, statements, returns, and credits.
  • Oversee accounts payable and receivables.

Operations:

  • Lead oversight of all business operations.
  • Analyze and review operation reports for efficiency and cost-effectiveness.
  • Improve internal processes to increase staff and office productivity.
  • Identify technology and physical space maintenance needs.

Practice Development:

  • Oversee progress toward goals and objectives.
  • Manage projects and develop solutions to meet patient and practice needs.
  • Support strong practice profitability.

Practice Management:

  • Provide leadership at all levels.
  • Assist first-line Managers and Owners to achieve company and office goals.
  • Ensure overall delivery and quality of company offerings to customers.
  • Formulate and administer practice policies, directing and coordinating all department activities.

Project Management:

  • Organize company projects and delegate tasks to proper departments.
  • Develop new projects to increase profitability and achieve sales goals.
  • Prioritize tasks to ensure projects are completed by deadlines.

Technology and Equipment:

  • Ensure all technology is properly implemented and functioning.
  • Lead research, purchasing, and infrastructure of all IT needs.

Human Resources:

  • Monitor staffing, staff performance, and talent development programs.
  • Create and implement policies and performance standards for human resources.
  • Ensure all teams within a unit are functioning well and maintaining high morale.
  • Make recommendations for hiring staff within a department or a team.
  • Audit hiring process and software.

Training:

  • Plan and implement training programs for staff.
  • Ensure employees follow best practices and company policies.
  • Evaluate employee performance standards.
  • Coordinate staff training as necessary.

Billing:

  • Analyze insurance profitability, patient billing, and procedures.
  • Manage the auditing of fee slips and ledgers.
  • Ensure correction of fee slips and provide proper training to staff.

Lab Management:

  • Maximize efficiency of in-house labs.
  • Oversee daily operations of labs.
  • Manage delays, turnaround times, returns, and warranties.

Frame Inventory Management:

  • Properly account and maintain perpetual inventory.
  • Evaluate sales reports.
  • Oversee frame board management and purchasing.

Marketing:

  • Create and implement marketing strategies for practice growth.
  • Oversee marketing software and recall.
  • Organize recruitment of new patients.
  • Analyze effective plans, oversee current programs, website, calendar, budget, and ROI.

Communications:

  • Oversee all internal and external communications.
  • Ensure consistency with branding.
  • Maintain communication with all staff.
  • Communicate projects and plans to employees.

Patient Care:

  • Ability to work in various roles as needed.
  • Work closely with practice managers and staff to ensure excellence in patient care and product delivery.

Competencies:

  • Superior interpersonal communication skills.
  • Knowledgeable optician; able to train others.
  • Strong sense of current trends and fashion in frames and lifestyle.
  • Ability to motivate and manage team members.
  • Proactive, respectful, positive, and creative approach with people.
  • Analytical – ability to track, tally, and analyze data to improve practice.
  • Results-oriented: able to maintain focus on objectives and move multiple projects forward.
  • Detail-focused, organized, and methodical in follow-up.

Does Not Do:

  • Patient exams.
  • Patient confirmations.

Education/Experience:

  • Bachelor’s degree in business or related field preferred.
  • 5-7 years of optical experience, preferably in private practice, or equivalent medical office management experience.
  • Previous management experience required, including staff and budget oversight.
  • Certified Optician preferred; Certification expected within 12 months of hire.
  • Experience with insurance plans and medical billing.
