Patient Coordinator / Receptionist

Veritas Backstage, Beauty and Rejuvenation Center is presently seeking a receptionist to manage clients and visitors at our clinic in Fredericksburg. You will be the liaison between provider, patient and pharmacy. Answering phones and taking messages, and sorting and distributing mail, inventory management, enrolling Members, and scheduling appointments and ringing in sales using our processor.

To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience as a receptionist or in hospitality is also helpful.

Receptionist Responsibilities:

  • Welcome clients and visitors warmly with a positive demeanor.
  • Developing relationships with clients and assisting through the process of actively working towards better health by providing support and education.
  • Encouraging adoption of habits that are conducive to a higher quality of life.
  • Creating customized care plans for participants including goals and plan of action
  • Analyzing patient lab work, and consulting with patient about the findings
  • Much like in hospitality, it will be important that you understand all menu, items, services and products, and can relay that information in an educational manner.
  • Also, you need to be an excellent sales person with an emphasis on education.
  • You will also be in charge of setting the schedule for our providers.
  • You will also be a keyholder, so they need to have natural leadership capabilities and or management experience
  • Creating holistic treatment plans to patients based upon their profiles and lab work, utilizing natural supplements.
  • Guide clients in navigating the office layout.
  • Announce clients as needed.
  • Support various administrative functions including copying, faxing, note-taking, and travel arrangements.
  • Prepare meeting and training spaces.
  • Professionally handle incoming calls and direct them accordingly.
  • Assist colleagues with administrative tasks.
  • Execute miscellaneous administrative duties as required.
  • Manage phone calls by answering, transferring, and screening them.
  • Organize and distribute incoming mail.
  • Recruit, oversee, and develop the junior administrative team.
  • Manage Inventory and place orders through vendors
  • Deliver exceptional customer service.
  • Coordinate appointment scheduling.
  • Pick, pack and Ship our retail goods
  • Manage online sales through Shopify

Receptionist Requirements:

  • Work experience a related field.
  • A warm and helpful personality with a genuine interest in people
  • An interest in wellness and beauty
  • Demonstrated ability to maintain a consistent, professional appearance and demeanor.
  • Exceptional written and verbal communication abilities.
  • Proficiency in Microsoft Office applications such as Word, Excel, and Outlook.
  • Strong time management capabilities.
  • Familiarity with administrative and clerical procedures.
  • Ability to collaborate effectively as a team member, assisting with diverse tasks as needed.
  • A medical license is not necessary to apply.
  • A good understanding of bio-identical hormone replacement
  • Developed communication skills.
  • Personable, with the ability to build rapport and maintain strong customer relationships.
  • Ability to work independently and as part of a team.
  • Ability to work flexible days and hours.
