Program Associate- Global 

About The Role:

VentureWell has an exciting opportunity to hire a new Program Associate to work with existing and new programs. If you are someone with project management experience, including relationship building and networking for impact, this may be a great role for you. Ideal candidates bring domain experience in fields related to VentureWell program areas, such as: science and technology innovation, entrepreneurship, global health, climate change and sustainability, startup acceleration or incubation, or in a startup. We also seek staff who bring experience (work or lived) with groups identifying as marginalized by racism, sexism, or classism.

Program Associate-Global: The ideal candidate for this position has experience working with students or entrepreneurs in many different countries, has a high degree of cultural adaptability and aptitude, and has experience managing innovation or entrepreneurship programs. Up to 10% travel as global public health guidelines allow.

Responsibilities:

Participant Coordination (30% of time)

  • Serve as a primary point of contact for program participants from a wide variety of backgrounds and cultures, with a mindset of providing “timely customer service”
  • Manage and lead coordination efforts for getting participants to comply with program requirements, meet expectations, and to get to required locations 
  • Ensure programs are designed to be culturally competent, considering cultures, norms, and experiences of participants who are from all parts of the world; work with instructors to customize curriculum and experience to participants’ needs, cultural norms, and local context.
  • Engage directly with entrepreneurs, innovators, faculty, and partners as we build relationships with groups historically excluded from opportunities in science & technology innovation and entrepreneurship
  • Build trusting relationships with participants and share their stories with funders, marketing, and colleagues 
  • Coordinate directly with vendors and partners to ensure successful events, aligned with strategic goals.
  • Ensure programs are designed to be culturally competent, considering cultures, norms, and experiences of participants from many different backgrounds
  • Liaise between participants and State Department officials to support visa applications of visiting participants.

Vendor Coordination (15% of time)

  • Serve as the primary point of contact with program vendors including hotels, caterers, AV/IT specialists, and program delivery partners for supported projects
  • Serve as primary liaison with the VentureWell finance team, ensuring smooth signing of contracts and payment to vendors.

Program Delivery (30% of time)

  • Implement defined program objectives, using domain expertise to support program delivery – including group conversation facilitation, emceeing, presenting directly in a “front of classroom” role, and one-on-one engagements with participants (e.g. students, faculty, professionals, etc.)
  • Deliver entrepreneurship and innovation education workshops together with a team of peers for a variety of audiences including student teams, global entrepreneurs, and mid-career professionals.
  • Organize and manage the planning and execution of programs, both domestically and in international locations
  • Contribute to the management of consultants who work on a mix of programs and events
  • Ensure logistics required for successful program implementation including materials, vendors, and contractors, are planned and executed in a manner that delivers excellence and compliance with budget and finance policies 
  • Ensure seamless meeting setup on-the-fly during an event, whether in person or virtual, and providing on-the-ground support of activities and events during in-person program execution
  • Leverage domain experience to coordinate and implement new and existing program offerings with guidance from manager, including continually learning from evaluation findings to recommend program improvements

Project Management (10% of time)

  • Actively support the development of programs that advance the interests of science and technology entrepreneurs, while attending closely to the strategic goals of funders & partners
  • Participate in internal collaboration and communication to ensure program success through use of project management tools and practices including project kick-off and ongoing management
  • Ensure Learning and Evaluation and Data is appropriately administered by coordinating with internal teams to meet reporting needs
  • Contribute to the development proposals for new programs
  • Work towards actively advancing equity in the scope of individual performance goals, and broader contributions to VentureWell’s commitment to diversity, equity, and inclusion.
  • Document project progress, and respond to regular reporting requests from funders. Participate proactively in quarterly reporting processes, ensuring comprehensive documentation of programs.

What You Bring:

  • BS/BA equivalent preferred but not required
  • Experience with project management, program administration, coordination or operations with domain experience in fields related to VentureWell program areas
  • Strong skills in project management software
  • Demonstrated history of success utilizing project management skills, including ability to meet deadlines and coordinate multiple tasks with a wide range of stakeholders
  • Outstanding written and oral communication skills with an ability to articulate and synthesize information in a compelling, organized manner
  • Comfort and experience delivering trainings or content related to domain experience online and in person
  • Ability to extract key information and data to recommend solutions
  • Ability to succeed and thrive in an environment with vying and changing priorities and tight deadlines
  • Track record of and ability to build solid, collaborative working relationships; exceptional team player who enjoys “customer service” orientation to collaboration internally and externally
  • Self-starter with proven attention to detail and a commitment to delivering high-quality work
  • Highly adaptable and comfortable working with a degree of ambiguity
  • Ability to understand and apply appropriate tools and technologies used in the workplace; ease with adapting new technologies as needed
  • High degree of digital fluency using cloud-based office tools such as GSuite, CRMs, team collaboration tools, and other web-based applications; ability to incorporate these tools into day to day work

Our Benefits:

  • An attractive and equitable compensation package, including: 
    • a salary range of $50k-65K commensurate with experience and internal equity
    • 403 (b) with 200% match up to a maximum contribution from VentureWell of 10% when the employee puts it 5% (eligible after one year of service for the match)

    • It’s our aim for our employees in this position to not work more than a 35-40-hour workweek. Exceptions for this role are occasional, with planned travel or events with external partners (~5x/year)
