POSITION TITLE: Events Customer Relations Coordinator (Seasonal)

ACCOUNTABILITY: General Manager

POSITION SUMMARY: Ventosa’s goal is to provide our clients and guests with seamless, efficient, and extraordinary banquet experience. The Customer Relations Coordinator is crucial in this process. It is through exceptional service standards, attention to details, delegation, and prioritizing that this is accomplished.

This position requires the ability to speak clearly and comfortably to a diverse and demanding customer base. There is also a need to be nimble, think quickly and make an operation appear seamless and professional to clients at all times. The ability to present & conduct oneself professionally is required, as well as the ability to work effectively with the client and staff (team) members. This position can be very demanding, both physically and mentally and can require long days including evenings and nights.

PRIMARY JOB RESPONSIBILITIES:

• Know Ventosa’s wine and food/menus.
• Know of Ventosa’s history, policies, and procedures, especially pertaining to that of the banquet division.
• Field (and respond to) phone calls, e-mails, and ‘drop-ins’ of prospective clients.
• Utilize Microsoft Word, Excel, and other basic computer software.
• Set appointments with potential clients for onsite tours of property.
• Meets with potential clients to tour and discuss ceremonies and receptions.
• Draft proposals based on clients wishes for their event.
• Create contracts for customers to sign and return.
• Schedule and conduct food tastings for the client, with the chef.
• Schedules ceremony rehearsals.
• Order specific linen and/or rental items for each event, per client’s request.
• Work directly with client and their staff to ensure every request is met.
• Ensure all client needs are met prior to and during events.
• Coordinate the setup of the ballroom per event diagram, and reception items provided by client.
• Attend weekly (or additional) managers’ meetings to report on upcoming events.
• Maintain inventory of, ongoing and coordinates décor, small wares, and equipment.
• Fill in and work events (serve, bartend, etc.) as needed.

Job Type: Full-time

Pay: From $18.00 per hour
