Job Description

The Wilson Music Library is part of the Jean and Alexander Heard Library system at Vanderbilt University. This position takes a leadership role in working at the Music Library to resolve problems and improve services, acts as a resource person for users, including monitoring the disposition of the collection, signage, stacks, equipment, and work spaces. This position has responsibility for student supervision.

The Jean and Alexander Heard Libraries at Vanderbilt University is comprised of nine libraries, as well as service departments in technical services, scholarly communications, IT infrastructure, and digital scholarship. We seek to create a welcoming environment and serve as a partner in research and scholarship. The libraries are dynamic places for faculty, staff, students, and alumni to reflect and discover. We also strive to be a workplace in which staff at every level continuously grow in knowledge and skills, staying abreast of advances and trends in librarianship to power relevant, vibrant research libraries. 

The Weekend/Evening Supervisor works in the Wilson Music Library, one of nine campus libraries within the Jean and Alexander Heard Libraries. The library’s primary user base are faculty, students, and pre-college students located in the Blair School of Music but inclusive of general university students interested in music. The music library staff work closely as a team, planning and delivering services to their constituents and making collections decisions together.

The Jean and Alexander Heard Libraries are fundamental to the university’s goal of advancing scholarship and learning. We collect, preserve and make accessible a wide variety of resources, we partner with faculty and students to shape research, and we encourage the development of informed scholars and engaged citizens

Duties and Responsibilities

  • Hires, trains, schedules, and evaluates 10-12 student employees. 
  • Supervises all operations of the circulation desk and front line public services activities during evenings and weekends. 
  • Staffs the service desk at the Wilson Music Library to provide basic reference, including information and access services that require judgment and informed appraisal of the user’s needs, based on relevant library policies, procedures, tools, and facilities.
  • Responsible for the safety and security of the Music Library during evenings and weekends. Takes appropriate action during emergencies.
  • Assists users in the use of digital and physical materials.
  • Assists users with library equipment (e.g., photocopier, scanner, listening/viewing equipment) and public workstations.
  • Develops friendly, cooperative working relationships with library users. Promotes a positive library image in contact with library users.
  • Updates and creates user records in the Integrated Library System (ILS).
  • Performs the last search for missing titles and declares them lost during the final search process. Handles and processes the withdrawal of materials when collection decisions are made.
  • Provides collection development support as needed, and leads the Music Library’s efforts in acquiring digital scores. 
  • Processes sound and video files in support of digital projects.
  • Provides support for the processing for course reserves materials.
  • Processes physical items for the Music Library’s collections.
  • Provides support as needed for other activities of the department including ILL, faculty delivery, and periodicals maintenance.
  • Supports unit and departmental administrative needs.
  • Works collaboratively, leads strategic projects, and manages workflow.

Supervisory Relationships: This position has supervisory responsibility over the Music library’s student workforce; this position reports administratively and functionally to the Director, Music Library.

Education and Certifications: 

  • A Bachelor's Degree in Music is required.
  • Two years of previous library experience is necessary. 
  • Customer service experience is necessary.
  • Ability to use standard computer software applications (e.g., MS Office Suite, Google Docs, Internet searching) and learn library technologies is necessary. 
  • Strong communication skills are preferred. 
  • Experience working in a library is preferred.
  • Previous supervisory experience is preferred.
