Position Summary

The Service Administrator thrives in a customer-centric environment, collaborating closely with a dedicated team of John Deere technicians and technology support staff who share a passion for agriculture and customer satisfaction. This role requires individuals who enjoy both independent and team-oriented work dynamics. Key attributes include a drive for success, excellent communication skills, and a collaborative spirit. Strong decision-making abilities are essential, especially in the absence of the service manager. A commitment to continuous learning and improvement is crucial for achieving excellence in this role. The Service Administrator also assists with tasks delegated by the service managers.

Job Responsibilities

  • Assist the service administrator in maintaining accurate and timely reports and records pertinent to the service department.
  • Field internal and external customer inquiries directed to the Service Department, including phone calls and walk-in customers.
  • Create and manage work orders under the guidance of the Service Manager/Shop Foreman until completion and invoicing.
  • Support training initiatives for the Service department and ensure resources are organized and up to date.
  • Handle all filing and record-keeping requirements of the Service Department.
  • Update customer profiles based on equipment, hours, or other relevant information from customer work orders.
  • Manage accessories and supplies inventory, preparing replacement orders as needed.
  • Compile Service Technician efficiency reports for review.
  • Submit warranty and product improvement claims to the administrator including charge computation, submission, and follow-up.
  • Perform administrative functions for the store as assigned.
  • Monitor cash work orders and liaise with the Service Manager and Technicians to prevent equipment with unpaid work orders from leaving the dealership.
  • Utilize Service Portal to add agreements for equipment inspections.
  • Supports and promotes Service and Parts marketing initiatives.

Qualifications

  • General knowledge of accounting practices and basic office procedures.
  • Proficiency in Microsoft Office Products (Outlook, Word, Excel).
  • Effective communication skills in both one-on-one and group settings.
  • Strong organizational skills with the ability to work independently and stay focused on tasks.
  • High School Diploma, GED, or equivalent experience required.
