JOB TITLE: 

Special Events Coordinator

JOB PURPOSE:

Reporting to the Associate Director of the University of Wyoming Alumni Association (UWAA), the Special Events Coordinator will be responsible for a successful comprehensive alumni event engagement strategy. Under limited supervision, this position will plan and coordinate logistics for events in collaboration with internal and external partners; evaluate and train UWAA team for continuous event improvement; execute, develop, and revise as needed, UWAA event branding and process standards for all events; assist with special projects as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plan, oversee, and execute logistics for UWAA events to include, but not be limited to: travel, accommodations, entertainment, transportation, facilities, technology, equipment, related logistical requirements, printing, and food and beverage within University regulations and policies and other required (state, federal, etc.) laws. These events will include, but not be limited to:
    • ​​​​​​​UWAA board meetings
    • Annual Brown and Gold Alumni Banquet 
    • Homecoming 
    • Network events (in collaboration with Network Coordinators)
    • UW Night at the Rockies and other special events 
  • Collaborate with marketing and engagement teams to execute UWAA event branding and process standards.
  • In collaboration with the UWAA Office Associate and UW Foundation Data Integrity team, oversee the accurate requesting, collection and tracking of event data to include invitation, RSVP/registration, attendance, etc. 
  • Plan, oversee, and execute the Alumni Travel Program in collaboration with the Global Engagement Office, and other campus partners when applicable. 
  • Manage the UWAA Event Calendar.
  • Assist Regional and Affinity Network Coordinators in planning and execution of network events. 
  • Create and manage event budgets in collaboration with the Business Manager. 
  • Attend events to ensure on-site full-time presence, and to coordinate event activities.

SUPPLEMENTAL FUNCTIONS:

  • Collaborate with the President’s Office, Athletics, the Foundation and the colleges and campus units on university wide event strategies as applicable.
  • Provide ad hoc reports as needed. 
  • Research new event ideas to implement for UWAA events.
  • Provide assistance on special projects and miscellaneous duties, as directed.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Bachelor’s degree

Experience: 1 year work-related experience (Candidates with an equivalent combination of education and work experience will be considered.) 

Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy

DESIRED QUALIFICATIONS: 

  • Experience with Microsoft Office Suite specifically Microsoft Teams 
  • Experience with event management
  • Excellent oral and written communication skills
  • Ability to work collaboratively with diverse constituencies
  • Extraordinary attention to detail, strong organizational skills, and ability to manage multiple competing priorities with minimal oversight
