JOB TITLE: 

Office Associate, Senior

JOB PURPOSE:

Perform complex administrative/management support tasks with discretionary authority; independently make decisions that substantially impact operations within and outside designated unit/program; administratively supervise comprehensive office operations and support staff for department/unit.

This position has been deemed essential as addressed in the University of Wyoming’s Employee Handbook. Employees in essential positions may be required to work during emergency closures and winter closure based on the nature of their job duties and the reasons for the closure. 

This position involves on-call status.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Autonomously interpret policy and procedures, providing interpretations requiring extensive knowledge of University, state, and federal rules and regulations. 
  • Perform complex problem resolution. Serve as a resource for department/unit and campus.
  • Participate in fiscal planning activities.
  • Research, compile, develop, analyze and integrate data. Prepare related reports and correspondence; perform difficult research for special projects as assigned by supervisor.
  • Create and/or maintain complex records systems and/or databases.
  • Coordinate information between individuals, departments and/or outside agencies as directed; assist with problem resolution as required.
  • Make recommendations on and revise existing office policies, systems, methods, and procedures; create/revise related documentation. Ensure compliance with policies and procedures.
  • Supervise support staff.
  • Communicate with constituents of the Wyoming Seed Certification Service regarding policies, procedures, standards and certification status of their crops, in both written and verbal forms. Manage text messaging services and other electronic media as well as mail to communicate program activities and events. Perform complex problem resolution. Serve as a resource for department.
  • Provide support for field inspectors, including communicating requests for services. Prepare related reports and correspondence.
  • Communicate with the public via phone, email, and in person regarding program services. Direct inquiries to other program staff and UW staff as needed. Coordinate information between individuals, departments and/or outside agencies as directed.
  • Maintain a filing system for electronic and hardcopy documents.
  • Cross-train on other program services, such as website updates and tag printing, when possible, in order to provide client services when other staff members are unavailable.
  • Assist in meeting scheduling, planning, and arrangements.
  • Supervise seasonal/temporary workers as needed.
  • Assist in the preparation of annual budgets.

REMOTE WORK ELIGIBILITY: 

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Associate’s degree or equivalent experience

Experience: 1 year progressively responsible work-related experience

DESIRED QUALIFICATIONS:  

  • Experience with QuickBooks
  • Experience with Microsoft Suite programs
