Utica University is Hiring an Employment Specialist Near Utica, NY

Performs a wide variety of recruitment functions in the Office of Human Resources. Requires thorough knowledge of departmental and University-wide employment processes and policies. Works closely with the Provost Office to manage the Faculty Load and Compensation process. Works collaboratively with hiring managers to secure and screen job applicants, and ensures a positive recruitment and onboarding experience. Exercises independent judgment in the absence of established procedures and discretion in the dissemination and handling of highly confidential information. Additionally, serves as a main point of contact for internal and external customers of the department.

Employment process:
  • Upon PeopleAdmin posting of position, coordinates posting and advertisement of vacancy on campus, internet sites, newspapers and professional journals as directed by the Director of Human Resources. Works with immediate supervisor to ensure job description is up to date for posting and compliance.
  • Serves as day-to-day contact on basic electronic recruitment system questions.
  • Ensures a great candidate experience and presents a professional and positive image to job seekers.
  • Responds to ongoing specific and general inquiries regarding employment opportunities by applicants in person, in writing, online, and on the telephone.
  • Assists in the screening of resumes in PeopleAdmin to determine minimum qualifications prior to sending to search committee when requested.
  • Conduct phone interviews for staff searches when needed.
  • Coordinate community liaisons for searches and support other search best practices as needed.
  • Performs reference and background checks on all newly hired staff, faculty, and adjuncts following all associated procedures.
  • Assures appropriate online process has been completed and any search documentation officially filed at the completion of the search.
  • Acts as a PeopleAdmin training resource and troubleshooter for search committee members, or executive approvers. Assist with communication to unsuccessful candidates at end of search process
  • Monitors supporting documentation associated with all Adjunct hires (including employee information form, transcripts, background checks, etc).
  • Monitors professional license activity for staff, faculty and adjuncts for upcoming expirations and contacts employees/school office if license renewal lapses and is expired.
  • Maintains official personnel files adjuncts and assures files are in compliance and contain only official and appropriate information.
  • Participation in career fairs.
Faculty Load and Compensation Responsibilities:
  • Enter, process, and checks Faculty Load and Compensation (FLAC) contracts in banner. Executes multiple banner processes from start to finish of process.
  • Troubleshoots FLAC issues and devises solutions for correction.
  • Generates all faculty overload and adjunct contracts for payment.
  • Make all necessary compensation changes and/or corrections to contracts based on information provided by the school office and approved by the Dean and Provost.
  • Analyze FLAC contracts for discrepancies, inequities and/or any general errors.
  • Contacts employees/school office prior to run of semi-monthly payroll if employee has not accepted their FLAC contract.
  • Tracking advanced degrees or contact hours taught for adjunct rate increase opportunities. Sends a notification to the school office and Provost if contracts needs clarification or appear incorrect.
  • Follows FLAC pay rate guidelines and Adjunct Qualification Matrix.
  • Participates in AMI committee weekly meetings, as well as any other relevant committees.
  • Provide any adjunct rate information to Academic Affairs upon request. This information may be used for promotion or pay rate increases but all changes would need to be approved by the Office of the Provost.
  • In collaboration with the appropriate staff from the Accelerated Bachelor of Science in Nursing (ABSN) program each semester, adjusts clinical contracts based off the information provided by the site.
General Responsibilities
  • Develops and maintains detailed procedures respective to the position.
  • Contributes to the success of the Office of Human Resources by providing information about human resources policy and procedure, acting as a backup for other positions as needed, working cooperatively with other departments and performing other duties as assigned.
  • Participation in training efforts, as necessary and appropriate.
  • Participate and engage in Diversity, Equity, and Inclusion (DEI) initiatives and programs, including but not limited to serving on DEI committees, serving as a diversity advocate or community liaison for a job search, advising a club, facilitating DEI-related training, and engagement in institutional cultural and celebratory events and programming
  • Works with supervisor to develop specific goals that support Utica University’s operational plans. This is done at least annually through the annual performance evaluation process, however review of goals will occur throughout the year.
  • Responsible for working with supervisor and other team members to achieve successful results on all established individual and departmental goals and key performance indicators.
Driving Responsibilities Travel Supervises This position does not supervise. Education & Experience Qualifications
  • Bachelor’s degree and 2-5 years of relevant experience required; Bachelor’s degree in human resources or a related field preferred.
  • Technical knowledge and experience in the human resources function desirable especially recruitment.
  • Experience working in a higher education setting preferred. Working knowledge of Banner system and applicant tracking systems strongly preferred.
Minimum Skills/Abilities
  • Ability to communicate effectively both verbally and in writing.
  • Ability to organize information and prioritize tasks and deal appropriately with confidential and sensitive information.
  • Excellent customer service skills required.
  • A strong commitment to diversity and works continually to enhance diversity of our students, faculty, and staff.
  • Ability to work well in a “team-centered”, fast-paced, heavy workload environment.
  • Competency in Micro Soft products including Word and Excel required.
  • Strong basic math skills necessary.
  • Strong analytical and research skills a must
  • Must be able to work flexible hours if necessary.
