Job Summary

Oversees the day-to-day operational activities of the clinical area of the clinic and responsible for planning, coordinating, directing and monitoring all operational aspects in accordance with regulatory requirements, in conjunction with providing effective leadership to staff and oversee the delivery of quality, cost-effective patient care. Works with the physician practice lead(s) and other clinical staff. 

Essential Duties and Responsibilities

  1. Manages the daily operations of the outpatient medical practice with several providers, by providing overall direction and guidance to clinical staff and closely with front office staff, communicating closely with the front desk manager.
  2. Assists staff with the implementation of clinics goals, policies procedures, and reporting tools through effective use of performance metrics and goal setting.
  3. Executes area of influence operational budgets, capital equipment lists; monitors clinic activity and justify variances when necessary; implement effective tools to improve operational efficiency and control costs, including payroll with HR. Requests supplies, and inventory for clinical area.
  4. Creates an environment that supports high employee and physician engagement. Strategically selects, on-boards, continuously develops, rewards, retains, and provides transparent performance feedback to all staff, and physicians via the CMO.
  5. Ensures that staff members receive timely and appropriate training and development, as well as regular evaluations and reviews. Establishes and monitors assigned staff performance and competencies, assign accountabilities, set objectives, and establish priorities
  6. Ensures compliance for various accrediting bodies and government agencies such as HRSA, CMS, JC, State Programs and health plans and performs all necessary reviews, audits, education, and training to maintain compliant status. Works closely with the Accreditation Specialist team to accomplish this.
  7. Oversees the VFC ordering.
  8. Directs Infection Control policy.
  9. Determines physical maintenance and equipment needs and repairs and coordinates with internal or external resources. Communicates with maintenance to resolve problems relating to the facilities on a day-to-day basis to ensure the environment support our employees engagement and meets our patients expectations.
  10. Collaborates with executive management to build and maintain community partnerships and relationships to attract new customers, retain existing customers and support brand positioning.
  11. Coordinates with the lead physician on the provider schedule and the scheduling of patients. Monitors patient flow and ensures appointment software reflects provider schedule/availability.
  12. In conjunction with the Medical Director or second, works to enhance providers efficiency and, when necessary, assist in resolving clinic-related issues.
  13. Ensure the clinic maintains a professional facility appearance, both indoors and outdoors, escalating to facilities manager as necessary.
  14. Provides the highest level of patient experience by ensuring data is monitored on a regular basis and staff are constantly exhibiting behaviors and services that our patients expect and deserve. Coach staff as appropriate to optimize the patient experience and lead by example creating a personalized experience for customers. Proactively leads service recovery activities. Communicates findings, recommendations, and corrective action strategies, if relevant, to the executive management team. 
  15. Works with the IS team to improve quality of care metrics, such as UDS goals.
  16. On a weekly basis, and as needed, reports operational issues, organizational opportunities and issues to the executive administration team. Identifies critical issues that require the attention of the Executive team, and makes recommendations for addressing and/or resolving these issues.
  17. Ensures PHI information handled by managed staff in the clinic is maintained in accordance with HIPAA regulations. Includes and Relies on the Privacy Officer as appropriate.
  18. Arranges and facilitates monthly staff meetings to educate and train staff and to improve operational efficiencies.
  19. Promotes a culture of risk-managed, patient-centered, values-based, high-performance and continually improving practice that values learning and a commitment to quality. Implements PCMH in collaboration with the Accreditation Specialist.
  20. Identifies best practices and improve internal systems, including the EMR system, with an eye toward future needs and budget realities
  21. Ensures that the appropriate controls and revenue management policies, procedures and systems are in place for nurses to allow for billing and collection effectiveness, including the review of medical records for compliance and billing requirements.
  22. Answer questions and concerns of UNHS patients. Help maintain a peaceful and orderly waiting room environment, including helping to deal with frustrated patients.
  23. Help to maintain a working relationship between the front office and clinical staff.
  24. Translate for Navajo patients or go and get someone in the clinic who can speak Navajo if needed.
  25. Follow personnel policies and procedures of Utah Navajo Health System Inc.
  26. Maintain patient and business confidentiality as per UNHS's policies and procedures, as well as in compliance with HIPAA and other applicable law.
  27. Maintain current CPR certification and RN Licensure.
  28. Work with providers to ensure proper referral process.
  29. Any other tasks, projects, or duties that are requested by the Employee’s supervisor or other UNHS management or administration that is at all reasonably related to UNHS and/or the Employee’s employment with UNHS. Performs other job-related duties as assigned.

Requirements

 This position requires the following qualifications:

Education & Experience: Requisite to adequately fulfill the duties and responsibilities of this position. Licensed Registered Nurse, 

Bachelor’s degree preferred and/or 3 years experience

Language Skills: Fluently read, write, and speak the English language.

Math Skills: General math skills required.

Reasoning Ability: Ability to reason and creatively problem solve.

Interpersonal Skills: Ability to interact with co-workers, managers, administration, and medical staff in a professional and courteous manner.

Computer Skills: General computer skills required, as well as knowledge and ability to use the Microsoft Software suite. Furthermore, the Employee must be able to learn new software applications, such as UNHS’s EMR software.

As a Tribal Organization the Utah Navajo Health System, Inc. (UNHS) treats patients with high risk and underlying chronic medical conditions. Therefore, UNHS requires its employees to show proof of immunization prior to their employment with UNHS or during their employment. Below is a list of immunizations/vaccinations required to be employed or to continue employment with UNHS.
The immunizations/vaccinations include but not limited to following:

  • MMR (Measles Rubeola, Mumps, Rubella): Documentation of two MMR vaccines (OR) Documentation of MMR titers.
  • Complete Hepatitis B vaccine series (3 doses), documented proof of titers indicating immunity, or a declination that may be signed upon arrival.
  • Proof of up-to-date PPD skin testing, if previously negative (OR) Proof of positive PPD skin test with the most recent chest x-ray and treatment history.
  • Tetanus, diphtheria, and pertussis (Tdap).
  • Varicella titers, history of varicella or varicella immunization series.
  • Influenza vaccine for the current year.
  • COVID-19 vaccine
  • Any other vaccinations as requested.
