ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

As a key member of our team, you will be responsible for coordinating group travel incentive programs and delivering exceptional service to our clients. Your duties will include:

  • Designing and maintaining participant registration websites using tools like Cvent online registration.
  • Assisting the general manager in selecting sites and excursions.
  • Coordinating program details according to client contracts and budgets.
  • Collaborating with hotels to manage rooming lists, select menus, plan event décor, and organize entertainment.
  • Working with Destination Management Companies (DMC) and other vendors to coordinate airport transfers, tours, and offsite events/dinners within the provided budget.
  • Booking and coordinating Air Travel.
  • Communicating effectively with group participants, and handling special requests/questions.
  • Producing creative trip information correspondence, including trip announcements, extension packages, congratulation letters, program of events, trip information letters, and tour details.
  • Managing payments as per contracts and keeping track of cancellation deadlines.
  • Invoicing clients and overseeing cash flow.
  • Selecting and ordering pre-trip documents such as name badges, travel wallets, and luggage tags.
  • Assembling pre-trip documents and mailing them to participants.
  • Prioritizing excellent service, recognizing the long-standing relationships with our clients.

The ideal candidate should be open to traveling with the group programs (approximately 10 per year). Additionally, a desire to learn other functions in incentive travel, including planning, costing, supplier negotiations, writing client contracts, and booking air travel, is crucial. Cross-training and collaboration within our small team are integral aspects of the job.

MINIMUM EDUCATION AND EXPERIENCE:

  • Travel Schooling or Bachelor’s Degree
  • Experience with coordinating group travel
