POSITION OVERVIEW

Compiles information and records to prepare purchase orders for procurement of material.

Salary: $45,000 to $49,000

MAJOR DUTIES AND RESPONSIBILITIES

  • Coordinates activities involved with procuring goods and services such as materials, equipment, tools, part, supplies and advertising for the corporation.
  • Prepares, processes and maintains computerized purchase documents such as purchase requisitions/orders, delivery receipts, invitations to bids, contracts and supporting correspondences.
  • Confers with vendors to obtain product or service information such as price, availability and delivery schedule.
  • Assist in the preparation of all funding sources’ required equipment acquisition and disposition listing report.
  • Assist in the verification of the organization’s physical inventories.
  • Unpacks and examines incoming shipments to verify conformance to purchase order specification and, records and reports incorrect, damaged, defective items and shortages.
  • Compile and maintain inventory of decaled equipment and other supplies purchased or transferred between departments.
  • Assist in contacting vendors about purchases already made and may reorder items in accordance with routine and prevailing purchase arrangement.
  • Confers with suppliers concerning late deliveries.
  • Assist expeditiously the timely delivery of goods and services to scheduled requesters.
  • Assist in maintaining and updating the purchasing database including the training material.

SPECIFICATIONS FOR EDUCATION/CERTIFICATIONS/LICENSES

  • High School Diploma or High School Equivalency certificate

REQUIRED SKILLS AND EXPERIENCE

  • At least two years of purchasing experience
  • Knowledge of policies, methods and procedures of purchasing.
  • Use and processing of requisitions, purchase orders, invoices and related documents.
  • Knowledge of local vendors and sources of supply.
  • Basic inventory methods and practices.
  • Good Communication and Customer Service skills.
  • Good Interpersonal skilling using tact, patience and courtesy.
  • Employee must be computer-literate and must have Proficient knowledge of Microsoft Office applications.

Physical Requirements

  • Indoors; disease or infections; hearing; talking; walking; sitting; using hands on objects, tools or controls. Occasionally lift and or move up to 10 pounds. Other job characteristics – need to be exact or accurate; repeat same task
