Urban Ecology Center is Hiring a Branch Operations Coordinator, Riverside Park Near Milwaukee, WI

Job Title: Branch Operations Coordinator

Reports To: Branch Director

Status: Exempt, 40 hours per week (full-time), limited-term through August 31, 2024

Work Location: 90-100% In-Person/On-Site

Role Summary: As a Branch Operations Coordinator at the UEC, you will provide key operational and communication support to the UEC staff community at the Branch, while supporting all engagement initiatives at the branch. You delight in nailing the details that impact experience and organizational culture. You will be highly collaborative and build relationships with and connections among staff, key partners, volunteers, and the community.

PRIMARY RESPONSIBILITIES

ON-SITE VISITOR EXPERIENCE

  • Welcome visitors. Engage them to meet their needs, interests, or curiosity about the Center and advance the Center's mission. 
  • Promote program participation, membership, volunteerism, rental, and community involvement to visitors. Connect visitors to other staff members when appropriate.
  • Coordinate reception desk staffing schedule during open hours. Assist reception volunteers with duties at the desk, covering the desk when volunteers are unavailable. 
  • Responsible for maintaining a safe & responsive space for visitors. Help enforce building policies and support as a point-person during our open hours including opening and closing procedures, setting alarms, and securing the facility.
  • Direct phone calls using a multi-line phone system.
  • Keep up with current information and happenings at the Urban Ecology Center.
  • Lead building tours for daily visitors and groups as scheduled.
  • Coordinate the branch’s community garden initiative. 
  • Assist/support Neighborhood Engagement staff with the coordination and participation in efforts to engage people in the branch neighborhood, including outreach opportunities and Affinity Group meetings.
  • Lead the visitor experience related to signage and exhibits in cooperation with the Branch Director and Marketing Team.
  • Coordinate room usage in collaboration with the Branch Director and Facility Rentals & Events team.

HOSPITALITY

  • Organize information stations, bulletin boards, and merchandise areas.
  • Ensure the beverages station is clean and stocked; prepare coffee for visitors as needed.
  • Organize and maintain a clean environment in all open areas and common spaces - Including the children’s play area, reception closet, and garage as needed.
  • Wash mugs, take out compost, trash, and recycling.

COMMUNICATION AND OPERATIONAL SUPPORT

  • In collaboration with other Branch Operations Coordinators, serve as a steward of the organization’s internal communications strategy and plan; provide support and guidance to continuously improve our communication.
  • Riverside Park Coordinator: Manage the organization's email inbox and ensure that all questions and comments are redirected to the appropriate people/departments.
  • Support or coordinate short-term organizational projects to build organizational efficiencies and efficacy or to advance our strategic plan.
  • Collaboratively manage the organization-wide All Staff Calendar and internal resource management for all-staff events on Altru, our CRM.
  • Regular meeting coordination and logistical planning and support for the Board meetings and members, including scheduling, set-up, preparation, and wrap-up (based on meeting location).

COORDINATE STAFF PROCESSES AND EVENTS

Support the Outdoor Leader experience; collaborate across departments to ensure meaningful career development and exploration opportunities.

  • Coordinate the branch staffing schedule logistical processes, including staff communications and regularly updating calendars. Provide administrative support for related branch operations initiatives.
  • Coordinate your branch's org-wide events staffing process, managing communications to ensure all events have appropriate staff engagement.
  • Assist with logistics of all-staff meetings, trainings, retreats, and events, including collaboration on new employee onboarding schedules.
  • Coordinate ordering of office supplies for your branch and assist with staff anniversary and recognition planning and purchasing.
  • Coordinate the branch’s employee equipment lending benefit in collaboration with the Branch Director and asset management processes utilized by programs.

TEAM AND SUPERVISION

  • As a member of the Riverside Park team, you will be managed by the Branch Director, with additional support provided by Leadership Circle and department managers; you will be the on-site supervisor of the High School Outdoor Leaders.
  • Though all of our teams work together in some capacity, you will most frequently collaborate with the Neighborhood Engagement Team, Community Programs Team, and Committee leads. 
  • In this role, you may support many organizational circles and committees, including Employee Engagement, Equity, Dignity, and Justice, Safety, or other related initiatives.
  • All UEC team members should expect interaction with volunteers, members, and youth participants.

ORGANIZATIONAL SUPPORT

  • All team members of the Urban Ecology Center work a minimum of 1-2 weekend or evening events each year. Our events are a great way to engage with our communities and see our mission in action; examples include Urban Candlelight Hike, Autumn Celebration, and HKE MKE. Some roles may have increased responsibility for event leadership.
  • All team members are asked to support our building hours by providing building coverage, which may include opening/closing the building, communicating with staff on-site, and welcoming visitors or guests. You may sign-up for an ongoing shift or provide backup support.

OUR EMPLOYEE EXPERIENCE

  • We nurture an inclusive, supportive, and collaborative workplace culture. Many of our staff serve on cross-departmental committees for internal and external events, employee engagement, our equity, dignity, and justice (EDJ) focus, and safety initiatives, to name a few.
  • We host a 2-day all-staff retreat each fall, with quarterly all-staff meetings, regular department meetings, and ongoing communication in between. We make frequent use of Slack and utilize the Google platform for email and cloud computing.
  • UEC staff work on-site a minimum of twice per week at one of our 3 branches, though many choose to work in-person more frequently. Several of our roles do not have remote capabilities by the nature of their responsibilities.
  • UEC staff can attend all programs or events at a low or no cost. Children of staff members attend programming, including summer camps, at reduced rates.

Experience, Education and Certifications

  • An associate’s degree or equivalent education experience is highly preferred; relevant work experience is a great alternative. 
  • 3 years of professional work experience is required; nonprofit experience is recommended.
  • Experience utilizing the Google platform, fundraising/CRM software, and graphic design/communication platforms such as Canva or S’more is recommended.
  • First Aid/CPR Certification is required (UEC will provide training as needed).

WORKING CONDITIONS, LOCATIONS, AND OTHER REQUIREMENTS

  • Limited Term: This role will be full-time through August 31, 2024. Funding-dependent, the role may become ongoing OR move to a 28-hour/week schedule on September 1.
  • Schedule: Tuesday - Saturday; occasional alternating Mondays (with Saturdays off). The schedule will reflect the center's open hours.
  • Condition & Location: Open office workspace with an active team atmosphere; you will have a dedicated workspace at your assigned branch.
  • Physical Requirements: Sitting for prolonged periods, typing on a computer keyboard, lifting objects of 25 pounds or less
  • Equipment Used: Computer equipment, CRM/fundraising software, Google software.
