How you'll help

We are seeking an organized, dependable, self-starter and detail-oriented Operations Coordinator to join our organization. As an Operations Coordinator at UpStream, you will provide excellent employee support and patient care by working closely with our dispensing pharmacy, HR, and administrative teams. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities.

What you'll do

  • Welcome patients, new employees, and other guests as they enter our facility
  • Manage seating assignments and facility shared spaces
  • Support facility supply inventory and ordering of supplies
  • Assist with pharmacy patient communication and delivery coordination
  • Assist HR team by coordinating training and equipment for new hires
  • Help prepare facility and office space for new hires or guests
  • Maintain kitchen and break areas
  • Manage inbound and outbound mail and shipping needs
  • Support security badge printing and requests for badges
  • Assist office operations management as assigned
  • Support Contact Center operations including answering and routing inbound calls
  • Support users of the phone system for technical support issues
  • Support and assist operations management as assigned

Experience and skills you'll need

  • High School Diploma or equivalent
  • 1 year onsite administrative support or similar experience
  • 1 year answering phones in a customer service or workplace capacity
  • Experience with office supply procurement and engagement with multiple vendors
  • This job requires some lifting and transporting of boxes, furniture, and other moderately heavy objects. Candidates should have no physical restrictions related to this type of work.
  • Excellent written and oral communication skills
  • Familiarity with customer service values
  • Desire to collaboration, help, and work as a team member
  • Ability to maintain a positive attitude
  • Must be able to work independently and interdependently
  • Strong attention to detail and organization skills
  • Proficiency in working with Microsoft Office products (Word, Excel, Teams)
  • Experience working in a fast-pace environment

Preferred Skills:

  • 2 years related experience
  • General experience working in medical/pharmacy environment.

Job Specific Details

  • Full-time onsite; Monday-Friday; Between the hours of 8:00am and 5:00pm. Hours are typically consistent but may vary occasionally.
  • Must have reliable transportation to and from the main site
  • Pay starting at $18/hour
