Primary Purpose:
Assist in the development, documentation, implementation, and daily oversight of school-specific procedures. Procedures include, but are not limited to, student enrollment and withdrawal, student scheduling, daily attendance, grade validation, cumulative record and transcript maintenance, and graduation lists. This position ensures compliance with local, state, and federal funding and accountability requirements.
Duties/Responsibilities:
• Ensure the daily maintenance of accurate paper-based and computer-based student records in accordance with local procedures, state and federal requirements for funding and accountability
• Enrollment/re-enrollment - enter course history for high school credit, as approved by Dean of College Prep/Academic Counselor, into Student Information System (SIS)
• Enrollment Verification - provide enrollment verification to outside organizations for programs such as driver's education, immigration, etc.
• Scheduling - assist in inputting schedules and/or making schedule changes for individual students grades 6-12 in conjunction with Dean of College Prep/Academic Counselor and enter into SIS
• Four-year plan - enter graduation plans and advanced measures as provided by Dean of College Prep/Academic Counselors into SIS
• Grade reports - print verification reports, collect and make corrections from teachers; enter grade changes into SIS
• Credit monitoring - enter summer school/transfer/dual credit/credit recovery into SIS
• Report cards - store grades; manage creation and distribution
• Academic Achievement Records (AAR/Transcripts) - perform first round audit, manage creation and distribution
• PEIMS - support verification process of CTE, course coding, dual credit, AP/IB, graduation plan identification, state and local credit
• Assessment data - enter SAT, ACT, AP and IB scores into SIS for accurate AAR production
• Withdrawal - track and maintain documents for scholars withdrawing from Uplift and ensuring appropriate documentation with TEA standards and for Uplift quarterly leaver audit
• Use online databases to ensure the school's records request log is up to date and compliant with all TEA requirements
• Check TREx weekly and respond to any records requests for transfer students
• Make records requests for new students via TREx for all incoming scholars
• Respond to school records requests from colleges or parent records requests not submitted through TREx
• Ensure all records have been provided to Dean of College Prep/Academic Counselors
• Prepare monthly report on attrition and additions and submit to Academic Director, attendance coordinator and Central Management Office
• Keep current on technology innovations and data collection requirements affecting schools
• Attend relevant trainings with Road to College & Career and State Reporting CMO teams
• Perform other duties as assigned
Qualifications:
Education, Experience, and/or Certification(s)
Education Requirements:
Associate's degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience required
Experience Requirements: General knowledge of graduation requirements and special programs, student scheduling enrollment/withdrawal, and attendance accounting procedures required.
Special Skills/Certifications:
Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to apply common sense understanding to carry out a variety of instructions furnished in written, oral, diagram or schedule form.
Required Skills/Abilities:
• Communication Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively with all levels of personnel, students, and parents.
• Bilingual Skills: English/Spanish bilingual preferred.
• Technology: Ability and competence in Microsoft Office applications and ability to use a variety of computer applications and platforms. Ability to use basic office equipment. Also, knowledge and experience in using a computer-based student information system.

Work Environment: The noise level is low to high and may have frequent interruptions. There may be activity from other employees and students of a distracting nature.
