The Department of Materials Science and Engineering (MatSE) at the University of Illinois Urbana-Champaign is seeking candidates for a Coordinator of Research Programs position to coordinate and manage all administrative, business, research, and development activities, under the direction of the Principal Investigator (PI). This is a part-time, 60%-time position.

Specific duties and responsibilities for this position include:

Program Management

  • Exercise independent judgment and discretion in all areas and perform work largely unsupervised with only occasional guidance from the PI’s.
  • Manage administrative affairs of PI(s) research activities including planning short- and long-term goals to reach deliverables on time, following up on deadlines with researchers, students, and staff. This includes but is not limited to proposal submission, post-award compliance activities, personnel appointment analysis, reference letter research, proactive scheduling management, and prioritization of cyclical deadlines.
  • Responsible for handling all research correspondence, acting as a resource, and managing all organizational tasks related to the research programs including publication management.
  • Manage travel and expenditures for PI’s and program/lab employees.
  • Manage faculty member(s) budgeted effort on sponsored research to ensure adherence to commitment to external agencies.
  • Assure that project documents, records, data, and archives are maintained and organized.
  • Utilize or develop tracking analysis, assessment tools, or other resources to evaluate effectiveness of processes, programs, and activities.
  • Recommend best practices or changes that facilitate improvement in meeting objectives and outcomes.
  • Coordinate visits from granting agencies, research collaborators and other stakeholders.

Financial Management

  • Coordinate the preparation of multi-disciplinary research grant proposals to various granting agencies.
  • Manage complex portfolio of faculty funds: institutional, sponsored research, gift, including monthly reconciliation and analysis of financial statements to determine compliance with budgetary and technical requirements of the university system and granting agencies. This includes frequent interaction with appropriate business offices to ensure accurate financial reporting.
  • Act as a liaison between PI(s) and the Office of Technology Management to manage group technology.
  • Plan and organize scientific and financial reports to campus offices and federal agencies.
  • Manage purchasing on grants, including submission of orders through iBuy or orders placed via p-card/t-card.

Administrative Support

  • Perform publication management: Proofread, edit, prepare, and electronically submit scientific journal articles and manuscripts.
  • Manage safety and other research resources for each research group, including lab standard.

  • Serve as a liaison with publishers, granting agencies, newspapers, and other press contacts,

departmental business offices and staff.

  • Serve as contact person between students, staff, outside agencies, and principal to ensure the timely response, referral, or action necessary for a positive result to any requests, questions, or concerns.
  • Proofread student posters and student conference abstracts.
  • Oversee the design and maintenance of research group web pages.

Human Resources

  • Assist with searches for/visits by postdoctoral research associate candidates and supervise the onboarding of new visiting scientists, postdoctoral and graduate student researchers.
  • Plan and coordinate with HR on student and postdoctoral new appointments and reappointments: extensions, salary increases, labor distributions and redistributions.
  • Hire and supervise student employees as necessary.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree.
  • One (1) year of professional-level accounting, managerial and/or business experience.


KNOWLEDGE, SKILLS, AND ABILITIES

  • Complete Sponsored Projects and Research Compliance (SPaRC) certification series or planned future enrollment.
  • Demonstrated knowledge and ability in meeting submission deadlines of reports or the like that involve multi-faceted, detail-oriented tasks.
  • Demonstrated leadership ability that includes a high level of initiative, exercising discretion and working independently in managing and overseeing projects.
  • Problem-solving skills with the ability to be resourceful using on-campus resources.
  • Ability to work efficiently with minimal supervision.
  • Ability to prioritize tasks and work independently in a fast-paced, multi-tasking environment.
  • Ability to develop and maintain effective work relationships with internal and external constituencies.
  • Outstanding organizational skills and exceptional oral and written communication skills.
  • Knowledge of budget analysis, as well as proficiency in word processing programs, website template, and spreadsheet operation and presentation software required.

SALARY AND APPOINTMENT INFORMATION

This is a part-time, 60% FTE Civil Service Program Coordinator position, appointed on a 12-month basis. This position may become full-time in the future. The expected start date is as soon as possible. The annual salary for this position is $35,568. Onsite work is required for this position; a hybrid work schedule is not available. The work schedule is somewhat flexible but would ideally be Mondays 8 am - 11:30 am, Tuesdays and Fridays 8:30 am – 4:30 pm and Wednesdays 8 am – 12 pm. Work authorization is not available for this position.
