Assistant Distribution Services Supervisor

Library Facilities


Job Summary

Assists in the management and supervision of the daily operation of the Stores and Distribution Group for the University Library. This includes, but not limited to, assisting in supervising, and executing operations for receipt and delivery of materials (such as freight, mail, commodities, or supplies) shipped to/from 16 libraries across campus.

Duties & Responsibilities

Storeroom

  • Ensures that proper account numbers appear on State, ICR, Grant, Gift and Revolving Funds.
  • Checks all obligations to ensure use of state funds.
  • Reviews and troubleshoots orders.
  • Assists in ordering equipment, office furniture, and supplies for the Library. Included are Library specialty supplies, such as preservation and conservation materials, Library security tattletape strips, bar codes, and specialty archival products for use in eliminating damage to the Library collection.
  • Approves Pcard purchase orders set through the Banner System.
  • Records receipts and shipments of University property, matches materials with Purchase orders, freight bills, and shipping tickets and receipts.

Distribution

  • Assist in supervising pickup and delivery of library collections and supplies on campus to twenty buildings for individual departmental libraries and units. This includes the implementing and executing of daily delivery shipments.
  • Prepares special deliveries of expensive rare books that are kept in the Rarebook & Manuscript Library.
  • Reviews pickup and delivery procedures of library collections for all libraries inside and outside the Main Library.

Receiving

  • Processes new library books being checked in and seeing that they are accounted for and then delivered to the Library Acquisitions Department. This can amount to 400-800 new books per week and seeing that all periodicals are delivered to the Acquisitions Department.

Mail

  • Operates postage meter machines in the Mail and Distribution Department. Overseeing mail and books being sent out from the Main Library. This includes international mail and books. Closely adhering to all US mail rules and regulations.
  • Remains informed of changing University and State purchasing procedures, Transportation policies, and U.S. mail policies.
  • Coordinates and assists in the maintenance, repair, and replacement schedules of material handling equipment and delivery vehicles.

Staff

  • Assists with interviewing, hiring, and training staff and students who work in the Stores, Receiving Department, and Mail and Distribution Department.
  • Assists in supervising staff and students in Stores and Distribution.

Additional Physical Demands

Environmental Demands:
Physical Requirements: Incumbent will be stationary for extended periods of time as well as move from one location to another. Assigned tasks can include continuous and recurring lifting and movement of heavy, bulky materials, up to 40 pounds.
Work Environment: This job involves extensive work, both inside and outside campus buildings. Inclement weather can lead to some discomfort and risk. Tight schedules and varied interpersonal contacts can place stressful demands upon the incumbent. A valid driver’s license is required.

Minimum Qualifications

1. High school diploma or equivalent.
2. Any combination totaling three (3) years (36 months) from the categories below:
A. College coursework in operations management, business management, supply chain management or a closely related field as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

B. Experience in storing/receiving freight, handling or hauling freight, route scheduling, moving and delivery services, warehouse loading, and storage operations, and/or terminal dispatching in an institutional, industrial, and/or commercial setting.

Preferred Qualifications

Valid driver's license

Knowledge, Skills and Abilities

  • Proficient in written and verbal communications skills.
  • Ability to supervise.
  • Ability to coordinate operations.
  • Ability to maintain records and prepare reports.
  • Capable of planning and prioritizing duties and responsibilities.
  • Able to utilize correct lifting techniques, as working with materials of 20-40 lbs.

Appointment Information

This is a 100% full-time Civil Service Assistant Distribution Services Supervisor position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. Minimum starting salary is $39,858.
