The Department of Radiology has an outstanding opportunity for Communications/Events Specialist.
The Communications/Events Specialist is responsible for outreach and educational events within the Department of Radiology in support of the Chairman’s office. This position is responsible for both internal and external communications, to include overall management of the Radiology website.
This position requires independent judgment and collaboration with both internal and external partners to proactively manage, report, and implement programs, projects and tasks assigned.
RESPONSIBILITIES:
Essential Duties & Responsibilities (Other duties may be assigned to meet business needs.)
Communications Administration (70%):
• Coordinate communications to diverse stakeholders in the Department of Radiology. Includes outreach to content providers, co-development of materials, and communication with media relations groups.
• Assists in the development, implementation, and ongoing maintenance of communication tools to include the following:
o Social media (Twitter, LinkedIn, blog posts)
o Public-facing Radiology website
? In partnership with IT team, Human Resources, and various departmental programs, ensure public website reflects up-to-date biographies of faculty, contains fresh and updated news features, relevant photographs and content
o Electronic newsletters
o Posters for Radiology bulletin board
o Monitors utilized for communications purposes, including across clinical sites, where permitted
• Implements strategies for the promotion of Departmental activities through various methods of communication.
• Resource for promotional material development.
• Responsible for maintaining consistent brand standards and curating presentable materials, including signage.
• Maintains excellent communication and professional demeanor and ensures information and resources are provided.
• Develops business visualizations to communicate complex topics and represent issues in more easily understandable formats.
• Regularly conduct outreach to department personnel and stakeholders to create a feedback loop for improving departmental marketing.
• Video content development, recording, and editing in support of electronic communications.
Event Management Coordination (20%):
• Plans and coordinates selected department events under the direction of the Executive Leadership Team. Determines event content, event promotional strategy, site identification, contract negotiation for services, decorations, technical support, post-event communications, and other duties as needed. Assembles and directs team members for events.
• Ensures special events remain within budget limits.
• Coordinates and schedules annual faculty retreat; prepares and distributes agendas and other relevant materials.
• Oversees organization of Department events such as annual holiday party.
• Provides open and ongoing communication and collaboration with members of the Radiology Department Executive Leadership Team (faculty and staff) related to outreach activities and feedback received.
• Schedules faculty orientations.
Other Responsibilities (10%):
• May be delegated responsibilities for faculty candidate recruitment and onboarding.
• Partner with section coordinators for scheduling and logistics.
• Special assignments as needed

Minimum Requirements
• Bachelor’s degree in related field & 2 years of related experience
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
• Ability to build and maintain professional relationships with physicians, both internal and external to the Department of Radiology.
• Must possess excellent customer service skills and maintain a high level of professionalism.
• Requires excellent organizational skills that will lead to effective project management.
• Proficient computer skills in Microsoft Office Suite.
• Experience writing, proofing, and editing for grammar, accuracy, and clarity.
• High level of communication skills in person, over the phone, and in email.

Supervision:
This position reports to Assistant Director of Operations in the Radiology Department.

Work Environment:
• Schedule is normally within the business hours of 8a to 5p, M-F but is not always fixed and workload does vary. The incumbent¹s first responsibility is to complete tasks rather than keep to a fixed schedule. Flexibility in schedule and intensity of work is necessary.
• Some travel between sites will be necessary by UW Health Services or other shuttles.
