POSITION PURPOSE
The School of Art Art History Design (SOA AH D) engages and educates students in essential issues of visual history and literacy, the creative process and visual communication, and innovative and socially responsible design. We work closely with leaders in the arts, academic and business communities to ensure that our students understand the role that this education will play in their future success as professionals and global citizens. SOA AH D has approximately 40 faculty and 23 staff members serving approximately 600 undergraduate and 60 graduate students plus more than 1,000 non-majors enrolled in our courses. We are seeking highly qualified candidates to fulfill the role of Academic Advising Program Coordinator (NE S SEIU 925 Non Supv).
The environment in the Academic Advising office is welcoming, team centered, supportive, and very fast paced. Under the general direction of an Academic Adviser and Student Services, this position works collaboratively with four academic advisers to coordinate communications, projects, events, and interactions with students, faculty, and visitors in the office of Academic Advising. The position has extensive involvement with students, staff, faculty, and the public.

DUTIES AND RESPONSIBILITIES
Front Desk/Reception (40%)
  • Serves as first point of contact in the Advising Office via phone, email and in-person; answers questions, provides information, and directs inquiries to the appropriate individual or office.
  • Advises undergraduate, graduate, and prospective students in addition to faculty, staff, and/or the public regarding program content, policies, procedures and activities in the School and throughout the different divisions and programs.
  • Promotes the School and its programs within the School, the University and with outside organizations.
  • Understands School and UW policies and exercises independent judgment in interpreting and applying rules and regulations when assisting individuals with inquiries.
  • Report observations from front desk/reception interactions at team meetings and contribute ideas to improve the regular operations of the Advising Office and support to the School.
    Administrative Duties (30%)
  • Responds to phone, email and in person inquiries.
  • Maintains the academic calendar, schedules appointments for advisers when needed, arranges and schedules other meetings as appropriate.
  • Schedules rooms for one-time events.
  • Sends out quarterly teaching packets to faculty, lecturers, TA’s and Predoctoral Instructors.
  • Maintains written information available in the Advising office, reviewing regularly and updating to match current policies and best practices of the UW.
  • Understands School and UW policies, applying rules and regulations regularly in communications and projects.
    Program Management (30%)
    The program coordinator collaborates individually and as a group with four academic advisers on a range of specific projects, events, and initiatives. This includes but is not limited to the following:
  • Provides support for graduate student application and recruitment, new graduate student orientation; welcome BBQ; informational surveys’, and Spring MFA/MDes exhibition at the Henry Gallery.
  • Coordinates the Annual Graduation Celebration including: management of the on-line RSVP, mailing of invitations, distribution of tickets, editing and printing programs and signage.
  • Leads regular Preview Informational Sessions for prospective students and their families.
  • Organize group meetings with students and set up meetings of the Graduate Board.
  • Helps manage the annual scholarship and award process that includes new student recruitment, divisional Research and Recognition awards, Special Achievement awards, Graduating with Excellence Awards, Teaching with Excellence Awards. Support plans for the annual presentation of scholarships and organizes meetings for the Art Scholarship Committee.
  • Provides support for the development, submission, publication and communication of curriculum and faculty teaching schedules, student registration, and first week of the quarter meetings with students.
  • Organizes adviser participation during Summer and Winter new student orientation designed to integrate 7000 new students into the UW and 300 into the School.
  • Additional support activities as needed and directed.
    MINIMUM REQUIREMENTS
    High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
    DESIRED QUALIFICATIONS
  • Two years’ experience working with student populations.
  • Excellent written and oral communication skills.
  • Flexibility to adapt to and manage a fast paced frequently changing office environment that serves a very lively and diverse population.
  • Self-motivated to learn, develop new approaches to solving problems, work under pressure and multitask.
  • Demonstrated ability to work collaboratively in a team environment.
  • Experience with Microsoft Office Suite (principally Outlook, Teams, Word, and Excel), Adobe Suite (principally Acrobat and InDesign), and HTML/Web Publishing.
  • Demonstrated ability in database management.
  • Understanding of the cultural and academic value of the study of art, art history and design.
  • Knowledge of UW academic policies and procedures.
  • Demonstrated dedication to equity, diversity, inclusion, and accessibility.
  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    CONDITIONS OF EMPLOYMENT
    This is a full-time position with hours coinciding with a standard workday between 8 AM and 5 PM (earlier start and end times may be an option) five days a week. This position is primarily in-person with limited flexibility for hybrid/remote work. Must be available for special projects as assigned and able to work occasional, flexible shifts to meet the needs of the School. Must be able to lift up to 50 lbs.
