Position Summary Information
Primary Purpose
Under the guidance of the Department Chair/Program Director, this role supports the Department of Audiology by performing essential tasks and contributing to the achievement of departmental goals. This position requires effective execution of duties in a dynamic, high-volume environment with minimal supervision.
Essential Functions
Provides support to the Program in a variety of functions/areas that may include, but are not limited to:
  • Develop administrative workflows to improve productivity and efficiency within the department, using technology and standards processes.
  • Collaborate in the development of communication materials and coordination of department-wide meetings, ensuring alignment with departmental objectives and accreditation standards.
  • Develop communication materials to keep students informed about important deadlines, events, and academic policies through various communication channels.
  • Lead procurement processes for multiple budgetary, academic, and operational funds, including ProCard purchasing, reimbursement procedures, reconciling, and facilitate timely acquisition of supplies for academic and research needs of the department.
  • Tracks and manages purchases from multiple funding sources, including research grants and departmental accounts; travel and other reimbursements; manages complex budget transfers.
  • Organize departmental meetings and events, manage logistics such as room reservations, managing event assembly, catering, as well as travel arrangements for internal and external stakeholders.
  • Develop and maintain efficient databases that track student performance, supporting effective information management of student progress and student-related program objectives.
  • Serve as the main contact point for students, externship sites, staff, faculty, and other stakeholders facilitating communication and engagement.
  • Support the coordination of student externship placements with external partnerships.
  • Support the preliminary admissions application screening of students applying to the Audiology program in accordance with program admissions, policies, and procedures.
  • Manage front-facing operations, including answering the telephone, responding to emails, receiving, and directing visitors.
  • Provide technical support to others within the office on university-supported software applications and supports the update and maintenance of the website.
  • Maintains various staff, department, and office calendars to ensure that department personnel are updated with current University information.

  • Perform other related duties as assigned.

Minimum Qualifications
  • Bachelor's Degree.
  • One (1) year of work experience serving in an administrative support role.
  • Two (2) years of experience using Microsoft Office suite of products including Outlook, Word, Excel, PowerPoint.
Preferred Qualifications
  • Demonstrated experience in program development, strategic planning, and project management within healthcare or academic settings.
  • Competency in financial management, including budgeting and financial analysis.
  • Experience with accreditation processes and compliance within educational environments.
  • Proven ability to lead teams, foster interdepartmental collaboration, and manage stakeholder relationships.
  • Expertise in current and emerging technologies relevant to education and program administration.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:
Work is primarily performed in a standard office environment with use of computer and phone. Work typically performed during standard business hours. May require occasional evening and weekend hours to complete tasks. Occasional travel may be required.
Hiring Range $24.01 - $31.81 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
