Purpose

Provide accounting and administrative support to staff, students, instructors, and vendors of the Texas Engineering Executive Education programs. Ensure prompt, accurate processing of registrations, orders, payments and high-quality proper-handling of customer service issues.

Responsibilities

  • Manage high volume of accounts receivables including generating and distributing invoices; collecting and depositing income; generating and distributing receipts; recording and tracking payments, deadlines, & late fees; and generating & delivering delinquency reports to program coordinators to assist in collections.

  • Manage the accounts receivable inbox and respond to the high volume of inquiries and requests made by students.

  • Serve as the registrar for TxEEE professional development courses.

  • Oversee purchasing including creating and updating vendors in University systems, submitting orders and change orders, creating instructor and staff travel requests, and maintaining files for multi-use forms.

  • Manage and maintain the informational and organizational integrity of a large number of student and accounting records, both electronically and physically.

  • Support supervisor with ad hoc and large-scale projects, such as adopting and maintaining compliance with the University records retention policy; implementing and maintaining a document imaging process to eliminate unnecessary paper file storage; streamlining accounting processes and procedures across the organization; and other projects as required.

  • Support the TxEEE Admin/Finance Manager and Executive Director as needed.

  • Travel to off-site locations for events and training coordinating as needed.

  • Other related functions as assigned.

Required Qualifications

  • Bachelor's degree in business administration and three years of relevant experience or high school graduation (or GED) and seven years of related experience.

  • Demonstrated experience with accounts receivable processing procedures.

  • Significant experience with MS Excel, Outlook, and Word.

  • Strong experience with customer-focused service.

  • Demonstrated accuracy and attention to detail, organizational abilities, and work prioritization and multi-tasking skills. Demonstrated ability to work in a dynamic team environment with competing deadlines and regular interruptions. Ability to follow directions, problem solve, make decisions, and complete tasks on time with minimal supervision.

  • Professional communication skills and positive demeanor.

  • Ability to follow established departmental, college, and university policies and procedures.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Knowledge of UT accounting policies and practices, including purchasing and vouchering rules, guidelines, and procedures.

  • Experience with UT mainframe DEFINE and DEBETA modules, including departmental coding.

  • Experience with Mishell or another continuing education registration software package.

  • Advanced experience with MS Excel, Outlook, and Word.

  • Demonstrate more than three years of experience with a high volume of accounts receivable processing.

  • Demonstrated ability to quickly acquire new skills, integrate new processes, adapt to change, and work cooperatively.

  • Experience responding to student and faculty inquiries.

  • Strong analytical and problem-solving skills.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).

Salary Range

$54,000 depending on qualifications

Working Conditions

  • Must be able to work on numerous time-sensitive projects simultaneously.
