Conferences & Event Services
Job Purpose:
Coordinate and plan for conferences, events, and meetings to be held on and off the University's campus. This includes the preparation and production for internal and external groups. The Assistant Director will also support the summer conference programs and camps and supervises work study students. As requested, work with various University departments to assist in planning special events and conferences.
Essential Duties:
  • Responsible for all aspects of assigned conferences & events including planning, preparation, production, housing and logistics which includes but not limited to key and swipe card inventory, linen ordering and inventory, correspondence with conference guests, working with conference/event contact throughout the planning to ensure a successful event.
  • Develop and disseminate conference proposals in collaboration with other University offices when applicable.
  • Work with internal departments (e.g. athletics) to assist staff and/or faculty in planning and executing conferences and summer camps.
  • Respond to external requests from businesses and corporations for use of campus facilities.
  • Serve as liaison between University departments and customers to coordinate all aspects of scheduling and planning.
  • Coordinate the use of on campus facilities and resources for assigned conferences and events
  • Research, contract, and coordinate vendors for offsite Advancement events
  • Submit event work orders and coordinate logistics with campus partners
  • Assist in the maintenance of the Conference & Event website and social media presence
  • Reserve event space for conferences and on campus events using the Universitys non instructional events system and classroom submissions forms
  • Hire, train and supervise Conference Assistants

Minimum Education Requirements:
Bachelors Degree required
Preferred Education:
Minimum Job Experience Requirements:
Two years experience with planning and coordinating events
