Job Summary:
The Coordinator for Equity, Inclusion and Faculty Excellence and Antiracism, Diversity, Equity, and Inclusion (ADEI) is the primary point of contact for the Vice Provost of Equity, Inclusion and Faculty Excellence and for the Office of Antiracism, Diversity, Equity and Inclusion. The Coordinator will work toward centering diversity and equity at USF, while fostering inclusion and a sense of belonging among members of the university community and engagement with community partners. The Coordinator for EIFE and ADEI is responsible for providing condential administrative support and coordination for the Vice Provost's division. The Coordinator is responsible for representing the University in a respectful, culturally competent and professional manner to a variety of internal and external constituents, including faculty, librarians, staff, students, alumni, deans, the Office of the Provost, other members of the university community, community members and strategic partners.
The Coordinator performs and planning duties for the VPEIFE, and for offices within the VPEIFE's division, including ADEI, CTE and CRASE and ensures communication, and coordination within and across these units. The Coordinator supports university-wide faculty development and the mission of both CTE and CRASE to celebrate, support, promote, and develop excellent teaching, research, and scholarly work across the university through interdisciplinary and community connections. The Coordinator also provides administrative support to the co-directors of CTE and CRASE, including managing events and external communications.
The Coordinator Equity, Inclusion and Faculty Excellence and ADEI reports to the Vice Provost of Equity, Inclusion and Faculty Excellence and works under the guidance of the Associate Vice Provost of ADEI. The Coordinator supervises the Program Assistant for Equity, Inclusion and Faculty Excellence and ADEI. This is an in-person position housed in the Office of Antiracism, Diversity, Equity and Inclusion; however, flexible hybrid working arrangements may be available with approval of the supervisor.
Full Job Description:
Specific duties:
Administrative Support for the VPEIFE division
  • Provides administrative services as point of contact for the VPEIFE and the AVP for ADEI
  • Performs a range of administrative and technical support duties, as the primary and confidential administrative support to VPEIFE, with rigorous attention to detail, organization, and process
  • Creates and develops new ofce work procedures to increase efciency, maintain condentiality, and improve work ow using knowledge of operations and creative problem solving techniques
  • Completes a broad variety of tasks for the VPEIFE and the AVP for ADEI including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes condential; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Manages communication for the entire VPEIFE division, including managing the division website, preparing correspondence, organizing meeting materials for meetings, creating agendas and documents and tables, and recording minutes
  • Coordinates meetings and events hosted by the Vice Provost
  • Maintains condentiality of all sensitive materials
  • Communicates with division staff about policy and procedure updates
  • Responds promptly to inquiries from university ofces and external constituents
  • Responsible for onboarding and training of new staff, ofce assignments, and general requests from staff
VPEIF - Diversity, Equity, & Inclusion
  • Assists the VPEIFE with project management of university-wide equity and inclusion initiatives, ensuring timely implementation of tasks in the unit division
  • Assists the VPEIFE with sensitive communications centered on diversity, equity, and inclusion matters
Faculty Excellence
  • Manages the Tenure and Promotion les and reports at the Provost Ofce level, working with staff in each of the Schools and the College
  • Provides administrative support to CTE and CRASE
  • Assists with programmatic generation, input, and management
  • Handles outward-facing CTE and CRASE communications
    • Managing newsletters
    • Fielding communications from outside the centers (e.g., emails)
    • Social media management
    • Event promotion
    • Website management (e.g., outward facing marketing site, MyUSF, blog)
  • Represents the Centers at program events
  • Coordinates centers' events calendar
  • Manages audits/assessments/metrics analysis
  • Produces Centers' annual reports
  • Produces Centers' content (e.g., faculty spotlights, features, event recaps) and edits content (e.g., blog posts, newsletters)
  • Coordinates meetings, activities and events with centers' advisory board members
  • Coordinates and prioritizes the VP's schedule to ensure the most strategic and efficient use of the VP's time and ensures that the VP is briefed and prepared for meetings and events.
  • Serves as liaison to the VP's Office, ensuring that all internal and external constituents feel valued, supported and celebrated through affirming and respectful communications, and coordination of meetings and events.
  • Coordinates EIFE events, including faculty orientation, faculty excellence and awards.
  • Supervising student assistants, including onboarding and approving hours on Workday
  • Hires, trains, and supervises student assistants;
  • Assists with grant preparation
  • Manage Faculty Resource Network application process (bi-annual)
Coordination of Optimal Workflow across Division of EIFE
  • Coordinates with the Program Assistant for EIEF and ADEI to support optimal workflow
  • Coordinates with staff support for IRB and INSJ to assure appropriate workflow across the divisions
Office of Antiracism, Diversity, Equity and Inclusion (ADEI)
Coordination of Equity and Excellence -Focused Professional Development:
  • Coordinate equity and excellence focused professional development and speaker series for students, faculty, librarians, staff and managers (e.g. Trauma Informed Systems Work, Cultural Relevance, Privilege, LGBTQIA active allyship, etc.)
  • Evaluate and track program outcomes
Community Engagement and Foster a Sense of Belonging:
  • Meet regularly with members of the various student, faculty, and staff affinity groups to ensure ongoing communication and collaboration; organize biannual reception for faculty/staff of color
  • Coordinate efforts to maximize impact and involvement among student organizations, staff, faculty, alumni, and community members to ensure University diversity initiatives extend to a number of constituents and that opportunities for connections occur across groups.
Campus Climate and ADEI Best Practices
  • Coordinate efforts to engage community members in understanding factors that contribute to inequities through needs assessment and development of strategic actions related to findings of campus climate, USF strategic plans, and campus ADEI plans
  • Support the Provost's areas in key initiatives focused on equitable hiring, student success, and retention of staff, faculty, and students.
Other duties and responsibilities
  • Perform special projects and other duties as assigned
  • Works closely with the Senior Assistant to the Provost and provides back up support to the Provost Ofce as requested
  • Some work hours may be required outside of normal business hours
Skills, qualities, and competencies:
  • Bachelor's degree required: Master's degree preferred
  • Minimum of 3 years administrative experience in a higher educational setting
  • Experience in supporting a senior-level executive
  • Strong proven skills with Microsoft Ofce applications (e.g., Microsoft Word, Excel, PowerPoint) and Google suite of programs
  • Experience of managing virtual meetings and hosting convenings on Zoom
  • Willingness to learn new technological skills
  • Demonstrated experience and cultural sensitivity working with projects and initiatives centered in ADEI
  • Ability to exercise discretion and maintain condentiality in a professional manner
  • Rigorous attention to detail
  • Strong listening and interpersonal skills
  • Excellent oral and written communication skills
  • Excellent administrative and organizational skills and high aptitude for multitasking and prioritizing among numerous complex assignments and competing responsibilities and expectations
  • Ability to anticipate and follow through on assignments necessary for planning, implementing, and completing a variety of events
  • Ability to manage multiple tasks while meeting deadlines

  • Familiarity or proficiency with Adobe Suite; task management and task sharing tools (Todoist, Slack etc). Banner and WorkDay experience and web design/management
