Responsibilities

POSITION SUMMARY/PRINCIPAL PURPOSE:

Under general direction and latitude for independent judgement: provides leadership, direction and oversight to the HIM Documentation Imaging Specialist Team and its customers. Performs all duties of the Document Imaging Specialist within the hospital and ambulatory setting. Coordinates and advises on the document imaging workflows of the HIM Document Imaging Specialist (DIS) Team and all offsite scanning locations, acting as a resource to all scanning staff at the primary hospital/ambulatory document imaging areas and new acquisitions, advising on document imaging policies and procedures. Utilizes customer service and interpersonal interaction skills to communicate, develop and support all scanning areas. Provides training and continuing education to all HIM DIS staff and staff at the primary hospital/ambulatory areas and new acquisitions. Offsite traveling and some flexibility with work hours is required.

Assures complete and accurate maintenance of the hybrid medical record. Exercises a high degree of responsibility, problem-solving ability, initiative and good judgment in resolving missing or erroneous data in the EMR. Collaborates with Health Information Management Leadership to support the scanning and indexing workflows of URMC and Affiliates. Accurately and efficiently fulfills any and all types of requests for Document Imaging to support URMC and Affiliates. Develops, updates and maintains policies and procedures to enhance the quality, consistency, and accuracy of the medical record with regard to document imaging and indexing. Collaborates with the eRecord OnBase Team and Document Imaging Leadership to enhance functionality and efficient workflows for Document Imaging and to support the accuracy of the legal medical record. Fosters and enables a positive work environment by modeling the ICARE values.

Under general supervision of the HIM Data Integrity Manager for Documentation and Archive.


SUPERVISION AND DIRECTION EXERCISED:

Self-directed and capable of making decisions on own. Provides training and support to Document Imaging Team and its customers and provides feedback to the Document Imaging Supervisor and Manager.


MACHINES AND EQUIPMENT USED:

Uses telephone, fax, photocopier, personal computer and any other department equipment. Computer systems used include, but are not limited to: eRecord, Rightfax and OnBase.


ESSENTIAL JOB SPECIFIC TASKS/COMPETENCIES:

  • Prioritize workflow to assure daily document imaging guidelines and productivity goals are met. Scan and index documents as part of Document Imaging Specialist Team. Provide support for the electronic document imaging workqueues and workflows. Coordinate daily activities of the OnBase queues. This includes identifying and implementing operational changes to ensure consistent and efficient workflow within assigned work groups. Coordinate the training/cross training of new/current HIM DIS staff and its customers on appropriate information systems and assure all staff is fully trained on the daily functions. Serve as SME (subject matter expert) for answering questions, solving problems and identifying unusual documents that need to be scanned/imaged. Frequent traveling to offsite locations required. (50%)
  • Assures accuracy of scan document imaging tasks by performing quality audits on scanned and indexed documents sent to eRecord-including paper and virtual documents. (25%)
  • Communicates the need for correction of errors found by external/internal sources- in OnBase and eRecord- examples: Document scanned to incorrect patient, document indexed to incorrect document type/encounter and /or duplicate document scanned to eRecord. (10%)
  • Assists Document Imaging Specialist Supervisor and Manager on interviewing, evaluating performance/skill level assessment, enforce personnel policies and guidelines. (5%)
  • Assumes duties of the Document Imaging Specialist Supervisor as appropriate and cross covers for other Team Leads assuring “Lead” coverage for Document Imaging Specialist Team. Collaborates with other DIS Document Imaging Specialist Leads to establish best practice standards, disseminates those standards and implements and monitors the adherence to those standards. (5%)
  • Maintains a thorough understanding of the integration between Rightfax, OnBase and eRecord to accurately troubleshoot, communicate and verify issues with ISD business partners. Participates in validation and testing any and all upgrades and work flow modifications/enhancements. (5%)


QUALIFICATIONS:

Requires an Associate’s Degree and five years’ work experience, computer experience, customer service experience; or combination of formal training and experience equivalent to the aforementioned. Must have the ability to lift 20 pounds, push or pull loaded carts and reach overhead. Must be able to complete all daily work with 99% or greater accuracy and have excellent organizational and prioritization skills. Must have understanding of written and oral communication and must be able to communicate effectively with co-workers, internal staff, external staff and management. Must have the ability to multi-task and cross over duties as needed.
