Job Description Summary
Under limited supervision, responsible for the preparation, review and submission of sponsored program proposals through the internal review process for submission to the sponsor, assuring compliance with the department, school and university guidelines. Activities include, but are not limited to preparing pre-award budget/justifications, provide guidance on policies and procedures related to sponsored programs; resolution of related issues. Act as liaison between the faculty, administrative staff, and various internal and external contacts including the School of Medicine, NIH and private foundations. Oversee the preparation of reports for investigators to apprise them on their funding status. Develop specialized monthly reports to assist schools and departments in monitoring and analyzing budget performance. Reconcile monthly reports; prepare and enter manual journals and budget journals as needed; resolve wayward transactions. Assist with annual budget preparation process. Reports to Associate Director, Research Operations (with indirect supervision from senior business officers, including those in the Perelman School of Medicine and the Department of Genetics)
Job Description
Job Responsibilities
Prepare and review proposal budgets and assist in other proposal development activities for staff linked with grant/award. Assist in assembling progress reports for existing awards and helping faculty with other support questions.
Responsible for adding all pre award information to department database for continuous updates to research support and faculty distribution of research allocations to investigators.
Monitor grant expenditure for compliance and corrective actions as needed. Work very closely with payroll coordinator to insure proper effort allocated
Maintain and monitor specific groups of faculty and their overall portfolio. Produce and distribute specialized research related financial reports for investigators. Meet monthly to review their funds and total research portfolio
Provide liaison to research offices across the University
Assist in the preparation and submission of monthly/ quarterly/ as required effort reports. Produce distribute specialized related financial reports for investigators. Post award duties include award set up and management for financial and regulatory compliance, meeting regularly with investigators for expense reporting and projects, and processing reports and transactions, including subcontract activity from start to close out.
Summarize data and prepare complex reports as necessary
Perform additional duties as assigned.
Qualifications
BA/BS, preferably in accounting, business or related field and 2 - 4 years progressively responsible experience in accounting, business administration or equivalent combination of education and experience required. Experience with research grants administration preferred. Excellent computer skills, including proficiency in MS Office (Excel, Access, etc.) Strong organizational skills with attention to detail. Strong communication and interpersonal skills. Knowledge of University financial policies and procedures and experience with University financial system applications, including payroll, Ben Financials purchasing, general ledger, budget entry applications, and business objects preferred.
