Job Description Summary

The University of Pennsylvania Carey Law School Faculty Support staff play a critical role in providing a world-class educational environment, supporting our faculty in their teaching, scholarly, and community endeavors, working in a collaborative and ambitious environment.
Reporting to the Director of Faculty Support, the FS Coordinator participates in the effective division of work flow across the busy team, ensures the efficient support of faculty teaching and exam administration and grading, and specifically supports Centers and Institutes with scholarship and research efforts, publications, projects, conferences, and symposia.
The role is a full-time (35 hours/week with unpaid hour for lunch) position.
Job Description
Responsibilities include:
Respond to Faculty Outreach
Represent Faculty Support to standing faculty, visitors, adjuncts, and lecturers.
Accept projects with an understanding of faculty member goals.
Exam Preparation
Serve as lead Faculty Support administrator on exam processes.
Prepare exams, ensure their delivery in proper format to the Academic Affairs/Registrar's Office.
Deliver exams to faculty in preferred method (digitally, on paper, etc.).
Participate in faculty grading systems by preparing spreadsheets, checking computations, etc. preparation, printing, and grading.
Communicate with Registrar's Office colleagues throughout the exam process and ensure Manager is aware of all exam matters throughout exam periods.
Center and Institute Tasks
Serve as front-line administrator to Penn Carey Law Centers & Institutes on non-event related matters.
Manage and maintain data bases on C&I contacts and events; create reports from these data bases; develop reports that inform faculty C&I work.
Publish to and maintain C&I websites, blogs, and other social media efforts.
Participate as needed in C&I board meeting preparation (report publishing and compilation of materials) as well as in preparation of event and symposia materials.
Complete sophisticated faculty requests
Prepare, edit, maintain, and archive faculty course materials for print and for the Web (including via use of .html and PowerPoint).
Edit and prepare manuscripts and articles for publication and distribution. Develop and edit footnotes in various publication formats (e.g., convert from social science journal format to law format).
Devise and maintain data bases for production of efficient mailing systems and effective completion of other projects.
Support faculty conferences, symposia, and events; maintain interactive calendar systems; provide travel support to the Penn Law faculty.
Assist with faculty letters in support of student clerkship applications; process letters, print letters, ensure faculty recommendations are ready for student applications.
Respond to faculty requests with updates on projects.
Other duties as assigned
Required Skills: BA/BS, and three years of increasingly responsible experience in an administrative support environment required; or an equivalent combination of education and experience. Extensive experience in Microsoft Office suite, including in PowerPoint, Excel, and Sharepoint, .html and web software, Word Perfect, and data base development and use required. Familiarity with both PC and MAC environments expected. Must be able to demonstrate accuracy in work, ability to handle multiple tasks at once, and excellent attention to detail. An ability to work well with others in a service-oriented environment, a positive attitude, and an interest in getting the work of the team done are essential. Excellent verbal and written communication skills required. We seek candidates who have established track records as collaborators in the workplace.
