Job Description Summary
Department and position overview:
The Undergraduate Financial Aid Development Department leads the fundraising activity necessary for Penn to uphold one of the most robust and generous undergraduate financial aid programs in higher education. This top university priority reflects the University's unwavering commitment to Access and Inclusion in undergraduate education.
The UGFA Development department promotes, supports, and coordinates activity within Development and Alumni Relations (DAR) to raise funds for Undergraduate Named Scholarships and Penn First Plus (P1P), a cadre of supports for students in the first generation to college of their families and/or from modest income backgrounds. P1P is designed to ensure that all Penn undergraduates thrive on campus and beyond. The UGFA Dev Department's primary functions are to:
1) Create and advance the case for Named Scholarships and Penn First Plus
2) Drive frontline fundraising activity through direct prospect solicitations and colleague partnerships
3) Lead donor stewardship activities
4) Facilitate connections between scholarship student recipients, DAR, and donors.
5) Establish and maintain the operations related to UGFA Development and University systems ensuring the donor intentions and the University's and student interests are protected
6) Manage the productive engagement of the Undergraduate Financial Aid Leadership Council, a board of leadership fundraising volunteers dedicated to the UGFA priority.
Reporting to the Executive Director of Development for Undergraduate Financial Aid and Penn First Plus, the Assistant Director will closely collaborate with all members of the UGFA Development team, as well as colleagues across DAR and in key areas of campus such as Student Registration and Financial Services (SRFS) and Penn First Plus. This position is primarily internal supporting the highest priority fundraising and cultivation/stewardship activities of the program.
Job Description
Specific responsibilities of the position include the following:
Execute activities in support of UGFA & P1P fundraising including proposal writing, prospect communications, event preparations and event follow up
Serve as an operations and systems lead in connection with the department's scholarship database platform, Blackbaud, which is shared with Student Financial Services
Hold a mastery of Salesforce ("Compass") Penn's alumni and donor database platform; support the department's full transition to Compass and serve as a thought leader on how UGFA Dev can maximize this tool to steward and fundraise from scholarship donors and prospects.
Lead in the conception, production, and maintenance of stewardship and case materials, including the program's website
Conduct data analysis in support of external communications and internal needs related to scholarship assignments, proposals, briefings, and presentations.
Prepare briefings for the Executive Director and University leadership for events and meetings
Support activities related to the management of the Undergraduate Financial Aid Leadership Council
Assist in the cultivation of new prospects by managing logistics of regional events hosted by UFLC member or other leadership volunteers
Arrange individual donor/student meetings and other small-scale gatherings including foundation scholars program events.
Use tools such as Qlikview and Marketing Cloud to support prospecting needs for UGFA initiatives and to provide data analysis on donors
Serve as a leader with the program's student engagement activities; work with undergraduate student scholarship recipients on a variety of fronts including student participation in small and large events, the Named Scholarship Program Student Advisory Board, and help to plan and execute New Student Orientation events for the department.
Work as necessary with internal partners in DAR Advancement Services, Information Services and Computing, the Office of the Treasurer, and SRFS to ensure smooth operations for the department;
Use tools such as Qlikview and Marketing Cloud to support prospecting needs for UGFA initiatives and to provide data analysis on donors
Uphold the DAR Core Values: Integrity, Collegiality, Collaboration, Transparency, Trust and Respect for Diversity and Inclusion Qualifications
BA/BS degree; three to five years of related experience in development required; preferably experience in higher education with knowledge on best practices in development operations and fundraising
Familiarity with Penn and/or solid understanding of a major research university environment
Strong communication skills, both written and oral; superb donor relations abilities; excellent initiative, attention to detail and planning skills
Ability to work independently, but collaboratively, in goal-oriented team setting
Successful experience managing complex projects in a fast-paced environment
Experience with Salesforce, Blackbaud and/or related CRM systems preferred
