Position Overview
The University of North Texas seeks a motivated, team-oriented professional to join our Advancement team in the Advancement Services department as the Director of Gift Administration. The Director of Gift Administration is responsible for creating metrics for gift processing staff and mentoring them to reach goals. The Director will benchmark peer institutions to remain adept with current processes and remain up to date on current IRS regulations that affect fundraising. The Director will work closely with the UNT Foundation on overlapping processes to improve efficiency and accuracy. The Director will closely collaborate with all development units (Major Gifts, Annual Fund, Donor Relations, Special Events, Planned Giving, Data Management, Prospect Management and Research and Corporate and Foundation Relations) to ensure current processes meet the needs of the division for intake, analysis and reporting purposes. The Director will work collaboratively with Gift Policy and Compliance to ensure that gift documentation requests are appropriately evaluated for compliance.
The position reports to the Executive Director of Advancement Services. The position works in conjunction with the leaders and staff of UNT's Division of Advancement.

Minimum Qualifications

Bachelor's Degree and four years of related professional experience; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities

* General knowledge of philanthropy and fundraising principles or ability quickly assimilate.
* In depth knowledge of principles of assigned area
* Supervisory experience.
* Ability to establish and maintain effective professional relationships with internal and external contacts.
* Ability to plan, organize and direct the work of others.
* Ability to utilize software relevant to the position.

Preferred Qualifications
The ideal candidate will possess the following additional qualifications:
  • Proficiency in Blackbaud's The Raiser's Edge and NXT or similar CRM
  • Strong project management skills.
  • Ability to facilitate problem solving between staff of university units and advancement services.
  • Experience processing debits/credits, reconciliations, AP/AR, and audits.
  • Effective oral and written communication skills.
  • Experience leading Gift Processing while rebuilding for streamlined effectiveness.
  • Knowledge of PowerBI, Tableau, or other reporting platforms.
  • Knowledge of ITIL or other workflow methodologies.

Monday - Friday, 8am - 5pm; with opportunity for hybrid schedule after 90 days.

Job Duties
o
Operational Responsibilities:
  • Directs the full scope of gift processing to ensure that all gifts are accurately captured, entered, deposited, and transferred.
  • Leads, in close collaboration with the controller's office, the weekly and monthly reconciliation and reporting of gifts received to internal and external partners.
  • Responsible for writing database queries, gift report development and analyze and synthesize gift data for non-technical users.
  • Supervises cash clearing account management, outstanding pledge management, gift-related reporting, and annual audit support for internal and external partners.
  • Manages new fund setup, workflow, the matching gift system, and the documentation and upkeep of gift related policies and processes.
  • Works with internal partners to review materials to ensure compliance with internal policies and regulatory requirements and serves as a knowledge partner for state and federal regulatory and legal compliance applicable to charitable gifts, fundraising, and related issues.
  • Works collaboratively and strategically with internal partners, such as Development Officers, to integrate, optimize, and support the gift administration and gift agreement processes and policies.
  • Work collaborating with, not limited to the Gift Acceptance Committee, UNT Foundation, and the Controller's Office to ensure gift compliance and acceptance policies including IRS, CASE, aasp standards are upheld.

Leadership Responsibilities:
  • Takes ownership of, communicates with stakeholders about, and resolves complex gift administration and fund management issues.
  • Leads, mentors, and supports the professional growth of direct reports, building a culture of continuous improvement, the automation of processes, and redundancies.
  • Establishes individual staff goals and objectives in alignment with departmental and Foundation goals and provides consistent and constructive feedback to staff.
  • Promotes a work environment where staff feel engaged, valued and can do their best work, and visibly recognizes the accomplishments of individuals and the team.
  • Interface with IT staff to resolve CRM issues and/or suggest system enhancements.
  • Collaborate with Advancement Services leadership on the creation and review of reports and data requests to ensure consistent data definitions and the optimal use of existing resources, as well as defining and conducting data hygiene processes.
  • Provides customer service support to fundraisers, advancement staff, campus partners, and donors regarding gifts transactions, data entry, operational processes, or implementation of new systems.
  • Collaborate closely with UNT to ensure proper gift designation and accounting requirements matching gift requirements, etc. are met, as well as ensure data consistency between finance systems and fundraising databases. Operate as the gifts processing SME.
